Donation Processing Supervisor

Full Time | 40 hours per week | Sunday–Saturday availability

In support of our homebuilding operations, Habitat Greater Ottawa operates Habitat ReStore, a retail home improvement store that sells donated home furnishings, appliances, and renovation materials. All proceeds help us build more homes for local families.

The Role The Donation Processing Supervisor leads all donation receiving and backroom processing operations at the Trainyard’s ReStore. This role ensures donated products move safely and efficiently from intake through sorting, culling, testing, cleaning, completion, pricing preparation, and staging for the sales floor within established processing targets. The Supervisor leads backroom staff and volunteers, provides donors with excellent service, and maintains a clean, safe, and organized processing environment that supports store sales and Habitat Greater Ottawa’s mission.

Key Responsibilities

Donation Receiving & Donor Service

- Oversee daily donation-door operations and ensure donors receive welcoming, respectful, and efficient service.
- Assess donations according to current acceptance guidelines and provide clear, professional explanations when items cannot be accepted.
- Coordinate the safe unloading, movement, and initial placement of donated products.
- Ensure donation records, donor information, and applicable tracking procedures are completed accurately.
- Coordinate sold-item loading and customer pickups occurring through the receiving area.

Donation Processing & Product Flow
- Lead the movement of donations through receiving, sorting and first cull, testing, cleaning, completion, pricing preparation, and staging.
- Maintain the store’s 24–36-hour donation-processing target wherever operationally possible.
- Assign product to appropriate processing categories and ensure damaged, unsafe, incomplete, or unsellable items are removed according to policy.
- Ensure products are clean, tested where applicable, complete, safely handled, and ready for pricing or merchandising.




- Coordinate with the Merchandise Supervisor on floor priorities, available capacity, category needs, and the timing of product movement.
- Prepare and safely stage products selected for e-commerce, while the Volunteer, Customer Service & E-Commerce Supervisor maintains online listings, customer communication, and order administration.

Backroom Operations, Recycling & Waste
- Maintain a clean, organized, functional, and clearly zoned receiving and processing area.
- Coordinate garbage, recycling, scrap metal, reuse, and other waste-diversion programs.
- Monitor backroom capacity and prevent unsafe accumulation, blocked access, or stalled inventory.
- Maintain appropriate storage and handling standards for tools, equipment, supplies, and staged merchandise.
- Identify operational bottlenecks and recommend improvements to processing flow, space use, and productivity.

Leadership & Supervision
- Supervise full time and part-time backroom staff and volunteers, ensuring tasks and responsibilities are clearly assigned.
- Provide training, coaching, and feedback on donation acceptance, processing standards, donor service, product handling, equipment use, and safety.
- Set daily processing priorities and monitor progress against volume, quality, safety, and turnaround expectations.
- Foster a respectful, inclusive, accountable, and team-focused work environment.

Safety, Communication & Collaboration
- Conduct regular safety checks and promptly correct hazards in receiving, processing, loading, storage, and waste areas.
- Ensure equipment and tools are inspected, maintained, and used only by trained and authorized team members.
- Ensure compliance with health and safety requirements, donation-acceptance standards, and organizational policies.
- Communicate product-flow challenges, staffing needs, safety concerns, donor trends, and improvement opportunities to the Assistant Manager and Store Manager.
- Collaborate with the other supervisors to coordinate store priorities, opening, closing, emergency response, promotions, and events.

Knowledge and Skills Required

- Two to three years of experience in donation receiving, warehouse operations, logistics, retail processing, or a related supervisory role.
- Strong leadership and team-management skills, including experience training and coaching staff or volunteers.




- Excellent organization, time management, communication, and problem-solving abilities.
- Knowledge of health and safety standards in warehouse, loading, or retail environments.
- Ability to make consistent donation-acceptance and product-condition decisions in a fast-paced environment.
- Ability to work effectively with diverse donors, customers, staff, and volunteers.

Working Conditions

- Full-time position, 40 hours per week, with evenings and weekends required.
- Work is performed primarily in receiving, warehouse, loading, and backroom processing areas.
- Requires prolonged standing and walking, frequent bending and reaching, and lifting or moving items safely up to 50 lbs.
- May involve working near loading areas, waste and recycling zones, material-handling equipment, and changing temperatures.
- Supervises and coordinates a combination of paid staff and volunteers.

Compensation and Benefits The salary band for this role is between $37,000 and $40,301 per annum, based on experience. Habitat Greater Ottawa also offers a comprehensive health benefits plan, vacation, and flexible personal days.
