The Role
GFL Environmental is adding to the leadership support team and looking for an elite Executive Assistant to support the Environmental Services division. This role will support the executive leading the division, as well as key senior leaders. With expert-level execution, our new team member will enhance the office of the executive and the division’s performance.
About You
Your strong organization, communication and prioritization skills deliver best-in-class management of an executive’s office. You identify and implement improvements based on your deep expertise as an elite Executive Assistant. Expert management of meetings and associated logistics is a core competency. You anticipate the executive’s needs and manage multiple priorities with an appropriate sense of urgency, empathy, and excellence. Your resourcefulness and drive to deliver top-results are matched by your people-first approach to leading an executive office. This leadership team has a demanding travel schedule, which requires your expert-level travel planning skills. You have a high degree of emotional intelligence and discretion. This critical role requires a dynamic individual with a proactive mindset and who will actively facilitate the performance of the business.
Job Duties
- Optimize the executive’s calendar to maximize efficiency
- Personalize the executive’s schedule to their preferences, understand internal / external obligations, prioritize requests for time and facilitate urgent demands or issues;
- Make meetings effective and project manage deliverables
- Manage logistics, prepare participants, and create relevant materials (i.e.: financial reports, status reports, presentations)
- Create action item reports, support key business initiatives and follow-up on delivery;
- Maintain proficiency with software applications and department systems as required;
- Provide event management support as requested;
- Improve flow of information
- Triage incoming and coordinating outgoing correspondence;
- Build institutional knowledge to clearly communicate with the team;
- Compose and prepare correspondence, maintain contact lists, make travel arrangements, and complete expense reports;
- Manage employee engagement activities
- Coordinate announcement, recognition and celebration projects and associated logistics in collaboration with key stakeholders;
- Perform a broad variety of administrative and project management tasks which facilitate the executive and leadership team’s ability to effectively lead the organization;
- Special projects as assigned
What We’re Looking For (Qualifications)
- Experience: 2-5 years of progressive experience managing an executive office supporting a large organization is preferred.
- Education: Post-secondary education in administrative support, office administration, or a related field is preferred.
- Technical Skills: Google Workspace (Docs, Sheets, Slides, Gmail)
- Soft Skills: Ability to maintain confidentiality and be self-disciplined. Ability to thrive in a fast-paced workplace while managing multiple priorities.
Ability to achieve high performance goals and meet deadlines in a fast-paced environment. Excellent communication skills between team members, vendors, management, and customers. Strong organizational skills and ability to prioritize multiple tasks seamlessly with excellent attention to detail.
Location This is a 100% onsite role based in Vaughan, ON, with a planned permanent relocation to Markham, ON, around January, 2027.
Mobility Requirement
Must possess a valid G License and have everyday access to a reliable vehicle.
