Medical Secretary / Medical Receptionist / 2+ Years of Medical Clinic Experience Required

This is not an entry-level medical office position.
Applicants must have a minimum of two years of recent, hands-on experience working in a physician's office or medical clinic, including experience with an Electronic Medical Record (EMR) system, patient scheduling, referrals, and day-to-day medical office procedures.
Applicants without the required medical clinic experience will not be considered.
About the Position A busy, established dermatology practice in North York is seeking an experienced Medical Secretary / Medical Receptionist to join our team on a full-time basis.
Our clinic has a high volume of patients, telephone calls, referrals, faxes, and appointment requests. We are therefore looking for someone who already understands the workflow of a busy medical practice and can become a productive member of the team with appropriate clinic-specific training.
The successful candidate must be highly organized, dependable, and comfortable working in a quick-paced environment. Excellent communication and interpersonal skills are essential, as this position involves extensive interaction with patients, physicians, and other healthcare professionals.
We are looking for someone who can work both independently and as part of a team, exercise good judgment, solve problems, and manage multiple priorities while remaining professional and courteous.
Required Qualifications
Applicants must have
- A minimum of 2 years of recent paid experience in a physician's office or medical clinic
- Hands-on experience using an Electronic Medical Record (EMR) system
- Experience scheduling physician appointments and managing referrals
- Experience registering patients and managing patient flow
- Experience handling medical telephone calls, faxes,
and patient inquiries
- Familiarity with medical terminology and medical-office procedures
- Strong computer skills
- Excellent spoken and written English communication skills
- Excellent organizational and time-management skills
- Strong interpersonal and customer-service skills
- The ability to multitask effectively in a high-volume medical environment
- Legal authorization to work in Canada
Completion of a Medical Office Administration / Medical Office Assistant program from a recognized post-secondary institution is strongly preferred. Experience with Accuro EMR and Ontario physician/OHIP billing would be considered an asset.
Responsibilities
Responsibilities include, but are not limited to:
- Answering and managing a high volume of telephone calls
- Scheduling and coordinating patient appointments
- Processing incoming referrals
- Registering patients and managing patient flow
- Placing patients in examination rooms
- Communicating with patients by telephone, email, and text
- Receiving and communicating messages between physicians and patients
- Managing incoming and outgoing medical faxes
- Scanning, photocopying, and filing documents
- Preparing and organizing patient documentation
- Assisting physicians with clinic workflow when required
- Preparing, cleaning, and stocking examination rooms
- Cleaning and sterilizing appropriate equipment
- Processing specimens for transport to laboratories
- Processing patient payments
- Assisting with skincare and aesthetic product sales
- Preparing OHIP billing and performing billing verification
- Ordering supplies and maintaining inventory
- Basic bookkeeping and administrative duties
- General medical office organization

Schedule
- Full-time
- Monday to Friday
- Work on weekends as required
