Job Summary

Reporting to the Finance Manager, the Junior Accountant & Payroll/Benefits Administrator supports the day-to-day accounting, payroll and advantages functions and contributes to accurate, timely and well-supported financial reporting. The position works closely with the Finance Manager and Bookkeeper and is responsible for maintaining strong financial records, reconciliations and supporting schedules.

Duties

- Coordinate and process bi-weekly payroll, ensuring employee information, earnings, deductions, taxable benefits and payroll changes are accurately recorded and supported.
- Administer employee benefit programs and pension-related transactions, including reconciliations.
- Reconcile payroll registers to the general ledger each pay period and investigate discrepancies before month-end.
- Reconcile payroll liabilities and employer costs, including CPP, EI, EHT, WSIB, pension/HOOPP, union dues and benefit accounts, as applicable.
- Prepare and maintain payroll allocation schedules by program, department, funding source and/or class.
- Assist with year-end payroll requirements, reconciliations and preparation of T4s and other statutory reporting.
- Prepare and file GST/HST, T030.
- Prepare monthly balance-sheet reconciliations and supporting working papers, including bank, accounts receivable, accounts payable, payroll liabilities, accruals, prepaid expenses and other assigned accounts.
- Assist with the preparation and maintenance of deferred revenue, restricted funding and Due-to-Funder continuity schedules.
- Reconcile funding received to funding agreements, invoices, payment notices, accounting records and bank receipts, and identify discrepancies for Finance Manager review.




- Maintain program/class financial schedules and assist in ensuring revenues and expenditures are recorded to the appropriate programs and funding sources.
- Assist with month-end and year-end close activities, including preparation of supporting schedules, account analysis and draft journal entries for Finance Manager review and approval.
- Assist with accounts receivable and funder reconciliations, including investigation of unapplied receipts, credits, outstanding balances and historical reconciling items.
- Review general-ledger activity for unusual, incorrectly classified or unsupported transactions and bring exceptions to the Finance Manager's attention
- Assist with preparation of financial information and working papers required for government/funder reporting, including Ontario Health reporting and other funding reconciliations.
- Prepare financial schedules and documentation required for the annual external audit and respond to audit information requests under the direction of the Finance Manager.
- Maintain organized electronic supporting documentation and an audit trail for reconciliations, journal entries, payroll, funding and financial transactions.
- Support the Bookkeeper with accounting activities during peak periods while maintaining appropriate segregation of duties.
- Assist with budgeting, forecasting and variance analysis as assigned.




- Develop and maintain Excel-based reconciliation and financial-analysis schedules and support improvements to financial processes and reporting.
- Identify reconciliation issues, control weaknesses and opportunities to improve financial processes, and communicate these to the Finance Manager.
- Maintain confidentiality of payroll, employee, financial and organizational information.
- Perform other accounting, payroll, benefits and financial administration duties as assigned.

Qualifications

- Post-secondary education in Accounting, Finance, Business Administration, or a related field
- 2–3 years of progressive experience in accounting, payroll, or a related financial role
- Experience processing full-cycle payroll and maintaining confidential employee payroll records
- Knowledge of Canadian payroll legislation, including income tax, CPP, EI, EHT, and other statutory requirements
- Strong understanding of accounting principles, including general ledger maintenance, journal entries, account reconciliations, and financial reporting
- Familiarity with T4s, Records of Employment (ROEs), payroll remittances, and year-end payroll reporting
- Proficiency with Microsoft Excel, including the ability to use formulas, organize data, and perform reconciliations.
- Experience with month-end and year-end financial processes, account reconciliations, and audit preparation
- Experience with accounting, payroll, and/or HRIS systems; Dayforce Powerpay experience is an asset.
- Experience in a non-profit, healthcare, or similarly regulated environment is considered an asset
