How You’ll Help Us Better Serve Our Clients
We are looking for an experienced and highly organized Legal Assistant to join our Employment & Labour group, with a focus on litigation and dispute-related matters.
Working closely with lawyers in the group, you will provide comprehensive legal administrative support across a variety of employment-related litigation matters. You will play an important role in keeping files organized, managing deadlines and court requirements, preparing legal documents, and ensuring our lawyers and clients receive responsive and efficient support.
This role is well suited to someone who enjoys litigation, thrives in a fast-paced environment, and takes pride in staying one step ahead.
What You’ll Be Doing
Litigation & File Management
- Provide legal administrative support to lawyers practicing in employment and labour litigation.
- Open, organize, maintain, and close client and matter files in accordance with firm procedures.
- Maintain litigation bring-forward systems and monitor important deadlines, limitation dates, court appearances, examinations for discovery, mediations, and other key dates.
- Prepare and maintain electronic and physical litigation files, ensuring documents and correspondence are organized and easily accessible.
- Coordinate the preparation and organization of materials for discoveries, mediations, arbitrations, hearings, and trials.
- Assist with preparing document briefs, books of authorities, affidavits of documents, and other litigation materials.
Document Preparation & Court Procedures
- Draft, prepare, revise, format, and proofread correspondence, pleadings, court forms, notices, affidavits, applications, and other legal documents from precedents or lawyer instructions.
- File and serve court documents in accordance with applicable rules and procedures.
- Maintain familiarity with the BC Supreme Court Civil Rules and applicable filing and service requirements.
- Coordinate with court registries, process servers, opposing counsel, clients, experts, and other external parties as required.
- Ensure documents are accurate, properly formatted, and completed within required deadlines.
Lawyer & Client Support
- Manage lawyer calendars, appointments, meetings, court appearances, and other commitments.
- Coordinate meetings, discoveries, mediations, hearings, and other litigation-related appointments.
- Communicate professionally with clients, opposing counsel, courts, and other stakeholders.
- Assist with incoming correspondence and ensure time-sensitive matters are appropriately prioritized.
- Anticipate lawyer and file needs and proactively follow up on outstanding items.
Administrative & Billing Support
- Prepare and process monthly client billings, including reviewing and editing prebills as required.
- Assist with time entry, expense processing, cheque requisitions, and other administrative tasks.
- Maintain client contact information and matter records within firm systems.
- Prepare engagement documentation and assist with conflict and file-opening processes.
- Perform other administrative and practice-support duties as required.
How You’ll Be a Great Fit for This Role
- graduate of an accredited Legal Administrative Assistant program or relevant experience;
- a minimum of 3 years of experience as a Legal Administrative Assistant - transactional experience an asset;
- strong technical skills, including knowledge of Microsoft Word, Excel, Outlook, Adobe, and BC Online;
- excellent verbal and written communication skills;
- excellent organizational skills and attention to detail;
- the ability to prioritize a high volume of tasks and competing priorities;
- a client-centered approach with a commitment to providing outstanding service;
- the ability to follow instructions and adhere to strict deadlines;
- dedicated to providing service beyond expectation; and
- the ability to exercise sound judgment, discretion, confidentiality, and adapt to changing demands.

What We Offer The expected salary range for this role is likely to be between $55,000 and $75,000, with the final salary determined based on the successful candidate’s experience, qualifications, skills, and internal equity.
