Role Overview

Eastern Construction is looking for a Marketing & Proposal Coordinator to support both our proposal efforts and broader marketing and communications initiatives. This role works closely with the Proposal Manager to support the development of high-quality, winning proposal submissions while also helping showcase Eastern’s people, projects, culture, and accomplishments through engaging marketing content.

The successful candidate will be a creative and highly organized individual with strong written, visual, and interpersonal communication skills. They will be comfortable working in a fast-paced, deadline-driven environment, supporting proposal development under the direction of the Proposal Manager while also contributing to marketing initiatives such as social media content, photography, video creation and editing, and company communications.

Key Responsibilities:

Proposals:

- Works closely with the Proposal Manager to support the development, coordination, and production of proposal submissions.
- Completes layout and production of proposal material with a contemporary and professional style.
- Translates proposal themes and key messages into compelling graphics and infographics.
- Supports the development and refinement of proposal content, including editing, proofreading, and rewording text to ensure clarity, compliance, and quality.
- Assists with the proposal planning process, including review of client requirements, development of proposal outlines, and creation of timelines and assignments.
- Conducts client background research and gathers relevant information to support the proposal strategy and planning process.
- Maintains the proposal-tracking matrix and supports tracking of deadlines and deliverables.




- Ensures proposals are compliant with client requirements and aligned with corporate objectives, policies, and goals, under the guidance of the Proposal Manager.
- Coordinates and supports proposal strategy and planning sessions as required.
- Assists in preparing proposal plans and responsibility matrices mapping deliverables, deadlines, and contributors.
- Proactively tracks assignments and maintains communication among team members to ensure internal deadlines are met.
- Assembles, formats, and reviews proposal responses for compliance, accuracy, and consistency.
- Participates in review sessions to support the quality and integrity of submissions.

Marketing & Communications

- Supports the development and execution of Eastern Construction’s marketing and communications initiatives.
- Creates engaging written and visual content for Eastern’s social media channels, including LinkedIn, highlighting projects, employees, company milestones, events, community involvement, and other company initiatives.
- Writes and edits social media posts, company announcements, project highlights, employee features, and other marketing communications while maintaining Eastern’s brand voice and professional image.
- Attends company, industry, project, and community events as required to capture photos and video content for marketing and communications purposes.
- Creates, edits, and produces short-form videos and other digital content for use across social media and company communications.
- Edits photography and video content, including selecting footage, trimming and assembling clips, incorporating graphics/text, and preparing polished content for publication.
- Supports the planning and creation of social media content calendars and identifies opportunities for timely and engaging content.
- Works collaboratively with project teams and other departments to gather project updates, photographs, employee stories, accomplishments, and other content.
- Assists with maintaining and organizing Eastern’s library of photographs, videos, project information, marketing materials, and other digital assets.
- Supports the development of branded marketing materials, presentations, graphics, advertisements, event materials, and other corporate communications.




- Ensures marketing materials and digital content are consistent with Eastern Construction’s brand standards.
- Develops and maintains strong relationships with internal stakeholders to support both proposal and marketing initiatives.
- Other duties as required.

Qualification & Experience

- 2+ years of experience in marketing, communications, proposal coordination, content creation, or a related role.
- Postsecondary degree or diploma in marketing, communications, journalism, graphic design, visual communications, or equivalent.
- Proficient knowledge of Adobe Creative Cloud, including InDesign, Illustrator, and Photoshop, as well as Microsoft Office and other relevant software.
- Experience with video editing software and creating/editing digital content for social media is strongly preferred.
- Experience creating professional content for LinkedIn and other social media platforms is an asset.
- Comfortable capturing quality photography and video content at projects, events, and company functions.
- Strong writing and editing skills with the ability to adapt messaging for proposals, social media, marketing materials, and corporate communications.
- Strong visual judgement and an understanding of branding, layout, photography, video, and digital content.
- Association of Proposal Management Professionals (APMP) practitioner certification, Certified Professional Services Marketer (CPSM) certification, or equivalent is preferred.
- Strong project management, organizational, and time-management skills with the ability to support multiple proposal and marketing deadlines.
- Strong attention to detail, good judgement, creativity, and problem-solving skills.
- Strong verbal, written, and visual communication skills.
- Strong working knowledge of proposal fundamentals and best practices is an asset.
- Highly developed interpersonal skills with an ability to collaborate with a diverse group sensitively, tactfully, and diplomatically.
- Excellent proofreading skills.
- Ability to maintain a high degree of professionalism and integrity in high-pressure situations.
