About Village Physiotherapy

Village Physiotherapy & Rehabilitation Centre is a multidisciplinary healthcare clinic in Mississauga providing physiotherapy, massage therapy, chiropractic, acupuncture, chiropody and other rehabilitation and wellness services.

We are looking for a friendly, organized, dependable and proactive Medical Receptionist / Clinic Administrator to join our team.

This is more than a traditional receptionist position. The successful candidate will play an important role in the day-to-day operation of the clinic, including patient service, appointment scheduling, billing, administrative support and clinic inventory management.

Key ResponsibilitiesReception & Patient Service

- Welcome patients and provide friendly, professional front-desk service
- Answer telephone calls, emails and patient inquiries
- Schedule, confirm, reschedule and cancel appointments
- Coordinate practitioner schedules and treatment appointments
- Register new patients and maintain accurate patient information
- Follow up with patients regarding appointments and required documentation
- Maintain a clean, organized and professional reception area
- Provide excellent customer service and help create a positive patient experience

Billing & Payments
- Process patient payments and issue receipts
- Assist with direct insurance billing
- Verify insurance information when required
- Follow up on outstanding patient balances
- Assist with payment reconciliation and end-of-day administrative procedures
- Support administrative requirements for Extended Health Perks (EHB), WSIB and Motor Vehicle Accident (MVA) patients
- Communicate with insurance companies and other third parties when required

Clinic Administration
- Maintain accurate electronic patient records
- Scan, upload and organize patient documents
- Assist practitioners with administrative requirements
- Manage incoming and outgoing clinic correspondence
- Maintain forms, documents and administrative records
- Support management with general clinic operations
- Maintain patient confidentiality and follow clinic privacy policies and procedures

Inventory & Supply Management The successful candidate will also help manage clinic inventory and supplies.

Responsibilities include

- Monitor clinical,



office and general clinic supplies
- Perform regular inventory counts
- Maintain accurate inventory records
- Identify low-stock items and arrange replenishment
- Establish and monitor minimum stock and reorder levels
- Receive deliveries and verify quantities against orders and invoices
- Organize and properly store supplies
- Monitor expiry dates for applicable products and supplies
- Rotate inventory to minimize waste and expired products
- Maintain organized storage and supply areas
- Track damaged, missing, expired or returned products
- Maintain supplier information and assist with ordering
- Track products purchased for resale to patients
- Assist with inventory management for orthotics, braces, supports and other clinic products
- Coordinate with practitioners regarding supply requirements
- Report inventory discrepancies, unusual usage or supply shortages to management

QualificationsRequired
- Excellent verbal and written communication skills

- Excellent organizational and time-management abilities
- Strong attention to detail
- Ability to multitask in a busy healthcare environment
- Professional, dependable and punctual
- Comfortable handling confidential patient information
- Ability to work independently and as part of a multidisciplinary team
- Comfortable learning new software and clinic systems

Preferred / Assets Previous experience in any of the following would be considered an asset:
- Physiotherapy or rehabilitation clinic
- Medical or multidisciplinary healthcare clinic
- Clinic scheduling or EMR software
- Direct insurance billing
- Extended Health Benefits
- WSIB or MVA administration
- Payment processing and reconciliation
- Inventory management
- Ordering and receiving clinic supplies
- Microsoft Office,



Google Workspace or similar administrative software

Candidates with strong reception, administrative or customer-service experience who are willing to learn healthcare clinic operations are also encouraged to apply.

Compensation

Competitive hourly compensation based on experience.

Candidates with previous physiotherapy-clinic experience and knowledge of direct billing, WSIB/MVA administration and inventory management may qualify for higher compensation.
