Position Summary The Office Administrator provides day-to-day administrative support to the Pointe-Sapin operation, with primary responsibility for production administration, inventory and material transactions, purchasing documentation, and general office administration. Reporting to the Head of Operations, this position supports accurate and timely operational records within SAP and the effective flow of information between Production, Operations, Purchasing, Finance, Supply Chain, and other ASB locations.
The successful candidate will be organized, dependable, detail-oriented, and comfortable working in a fast-paced manufacturing environment where priorities may change based on production and operational requirements.
Key ResponsibilitiesProduction Administration
· Create, process, maintain, and close production work orders based on approved production requirements, sales orders, forecasts, inventory needs, and direction from Operations.
· Ensure production transactions and supporting documentation are completed accurately and on time.
· Maintain production records, spreadsheets, reports, and other operational documentation.
· Identify and report production transaction errors, discrepancies, or missing information to the appropriate operational leader.
· Support production planning and scheduling activities as required.
Inventory & Material Control
· Maintain accurate inventory and material records within SAP and supporting tracking systems.
· Create and receive supply chain transfers and complete associated documentation.
· Perform and/or coordinate routine cycle counts and physical inventory counts.
· Review inventory discrepancies and assist with investigating and reconciling differences.
· Process approved inventory adjustments and maintain appropriate supporting documentation.
· Monitor inventory levels for key production materials, supplies, and consumables.
· Identify potential shortages or inventory concerns and communicate them to the appropriate operational leader.
Purchasing & Receiving Administration
· Monitor stock levels for designated production materials, parts, supplies, and consumables.
· Identify replenishment requirements and initiate purchasing activities within established guidelines.
· Create and maintain purchase orders in SAP.
· Communicate with suppliers regarding orders, availability, delivery timing, and outstanding requirements as needed.
· Receive materials and parts within SAP and ensure transactions are completed accurately.
· Follow up on outstanding purchase orders and deliveries.
· Escalate supply issues, shortages,
pricing discrepancies, or delivery concerns when required.
Shipping & Supply Chain Support
· Support inbound and outbound shipping activities as required.
· Prepare or assist with packing slips, bills of lading, transfer documentation, and other shipping paperwork.
· Assist with carrier coordination and shipment scheduling when required.
· Communicate with internal departments and external transportation providers to support the timely movement of materials and finished products.
· Ensure shipping and receiving transactions are accurately reflected in the appropriate systems.
General Administration
· Maintain organized electronic and physical filing systems for operational records.
· Prepare spreadsheets, reports, correspondence, and other documents as required.
· Support the Head of Operations and Plant Manager with administrative requirements.
· Provide limited administrative support to Finance for documentation, invoice, purchasing, or receiving inquiries as required.
· Communicate professionally with employees, suppliers, carriers, contractors, and other ASB locations.
· Perform other administrative duties reasonably related to the position as required.
Health & Safety
· Follow all ASB Greenworld health and safety policies, procedures, and workplace requirements.
· Participate in workplace safety activities and inspections as required.
· May be required to serve as a member of the Joint Health and Safety Committee.
· Promptly report identified hazards, incidents, or safety concerns through the appropriate channels.
QualificationsRequired
· High school diploma or equivalent.
· Strong computer skills, including Microsoft Office applications, particularly Excel, Outlook, and Word.
· Ability to learn and effectively use SAP and other business systems.
· Strong numerical and basic mathematical skills.
· Strong attention to detail and commitment to accuracy.
· Effective written and verbal communication skills.
· Ability to organize work, follow established processes, and manage multiple administrative priorities.
· Ability to take direction and work effectively with employees and management across different functions.
· Ability to work effectively in a fast-paced manufacturing and operational environment.
Preferred
· College diploma in Business Administration, Accounting, Supply Chain,
Office Administration, or a related field.
· Previous experience in an administrative, manufacturing, inventory, purchasing, or supply chain environment.
· Previous SAP or ERP system experience.
· Experience within peat, growing media, agriculture, or a related manufacturing environment.
· Bilingual communication skills in English and French are considered an asset but are not required.

Hours & Working Conditions
· Regular hours are 7:00 a.m. to 4:00 p.m., Monday through Friday, with flexibility and overtime as operational requirements dictate.
· Primarily office-based within an active manufacturing workplace, with regular interaction with production, warehouse, yard, and operational personnel.
· May occasionally be required to enter production, warehouse, yard, or other operational areas while following applicable PPE and safety requirements.
· Additional flexibility may be required to support production schedules, inventory activities, month-end requirements, or other operational needs.
Position Accountability
Success in this role will be demonstrated through accurate and timely SAP transactions, reliable inventory records, effective purchasing and receiving administration, organized operational documentation, timely communication of discrepancies or shortages, and dependable administrative support to the Pointe-Sapin operation.

Pay: $20.00-$24.00 per hour
