We are seeking a proactive and organized Office Assistant to join our dynamic team! In this vital role, you will be the first point of contact for visitors and callers, manage administrative tasks with precision, and support daily office operations to ensure a smooth and efficient workplace. Responsibilities

- Greet visitors, clients, and vendors professionally at the front desk, providing excellent customer service and phone etiquette.
- Handle multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary.
- Perform data entry tasks with speed and accuracy using Microsoft Office, Google Workspace, and other relevant software.
- Maintain organized filing systems, both physical and electronic, ensuring quick retrieval of documents.
- Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing, billing, and record-keeping.
- Assist with clerical duties such as proofreading documents, managing calendars, scheduling appointments, and preparing correspondence.
- Provide general administrative support including copying,



scanning, faxing, and managing office supplies to keep the workspace well-stocked and functional.
- Support medical or dental office operations by managing patient records, appointment scheduling, and verifying insurance information as needed.

Experience

- Prior office experience demonstrating strong organizational skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with data entry tasks requiring high accuracy and attention to detail.
- Familiarity with QuickBooks or other bookkeeping software is preferred.
- Previous clerical or administrative experience in a healthcare setting such as a medical or dental office is a plus.
- Knowledge of multi-line phone systems and front desk procedures enhances your ability to excel in this role.
- Excellent customer service skills combined with professional phone etiquette are essential for success.
- Strong typing skills along with proofreading abilities ensure high-quality communication and documentation.
