Job Summary

We are seeking a highly organized and proactive Operations Coordinator to join our team at our head office located in New Westminster, British Columbia. This role plays a key part in supporting the day-to-day operations of the business and acts as a vital link between front-line staff and department leaders.

The Operations

Coordinator is responsible for managing system access and reporting, monitoring operational performance, coordinating insurance claims, and facilitating communication between the head office and site teams.

In addition, this role supports interdepartmental projects and drives continuous improvement initiatives to enhance consistency, compliance, and service quality across all locations.

The ideal candidate will bring strong administrative, organizational, and project management skills, with a solid understanding of operational workflows. They will ensure that departments operate efficiently, employees are supported, and company objectives are achieved through effective systems and streamlined processes.

Responsibilities

Administrative & Coordination

Serve as a central point of contact for operations inquiries, ensuring timely follow-up and alignment with priorities.

Coordinate interdepartmental projects, track deliverables,



and monitor timelines to ensure successful execution.

Maintain and update operational documentation, including Standard Operating Procedures (SOPs), process maps, and reports.

Support internal communication between operations, customer service, and site leadership teams.

Record meeting minutes for department and inter-department meetings as needed.

Support mid and senior level management with development of presentations as required using PowerPoint or similar tools.

Systems & Data Administration

Manage and maintain user access within customer and inventory systems (e.g., SiteLink).

Provide guidance and troubleshooting assistance to site managers using operational systems.

Create, Manage and/or update digital files to ensure accurate information is readily accessible via Sharepoint

Run and analyze operational reports to identify inconsistencies, risks, and improvement opportunities.

Track and follow up on insurance claims for all locations, ensuring documentation and resolution progress are up to date.

Support Help Desk inquiries and ensure issues are escalated and resolved efficiently.

Reporting & Analysis

Monitor company pricing structures and conduct regular competitor price analysis to support market competitiveness.

Prepare and maintain recurring operational reports for leadership, including KPIs, compliance metrics, and follow-up actions.

Audit system data for accuracy and ensure consistent application of procedures across locations.

Continuous Improvement





Collaborate with department managers to identify operational gaps and recommend process enhancements.

Utilize available tools and resources to drive efficiency, accuracy, and service consistency.

Support the roll-out of recent systems, procedures, and process improvements across departments.

Qualifications

3+ years of experience in operations coordination, administration, or project support - preferably in a multi-site environment.

Strong proficiency with systems such as SiteLink, CRM or ERP software, and Microsoft 365 (Excel, Teams, SharePoint).

Post-secondary education in Business, Operations, or a related field an asset (or equivalent work experience).

Strong organizational and multitasking skills with attention to detail.

Proficient in Microsoft Office (Excel, Word, PowerPoint); comfortable learning new systems.

Excellent communication and interpersonal skills to work effectively across teams.

Proactive, adaptable, and able to thrive in a fast-paced, growing company.

Strong attention to detail and accuracy.

Great team player who can work independently.

Must be proficient in verbal and written English.

Bilingual French/English - considered an asset.

High level of integrity, confidentiality, and accountability.

Strong work ethic and positive team attitude.

Work Schedule

Monday to Friday – 40 hours per week

Salary Range: $58,000 to $65,000 CAD
