We're seeking a highly organized, detail-oriented Club Operations Coordinator who loves managing operations, building systems, solving problems, and creating exceptional experiences behind the scenes. This role is ideal for someone with a background in youth sports, sport management, or a related field who thrives in fast-paced environments and wants to build a long-term career in sports management.

Position Overview The Club Operations Coordinator is a key member of our team and leads our operations and customer journey across our organization. You will play an essential role in delivering a best-in-class experience for our players, families, coaches, and staff by ensuring our programs operate smoothly, professionally, and efficiently. Working closely with our Technical Directors, General Managers, and leadership team, you'll take ownership of customer communications, registration systems, payroll administration, operational processes, and day-to-day club administration across multiple brands.

Beyond executing daily responsibilities, you'll continuously identify opportunities to improve our systems, communication, and operational efficiency. Success in this role requires a strong sense of urgency, exceptional organization, strong communication skills, attention to detail, and the ability to manage multiple priorities without sacrificing quality.

Key Responsibilities

Customer Experience

- Build and own a world-class customer experience across all of our programs, including email and phone communications, registration platform management, customer journey, and more
- Respond promptly and professionally to customer emails and phone calls
- Deliver exceptional customer service while resolving inquiries efficiently
- Create and own pre-program emails, reminders, and participant communications

Club Administration & Registration

- Build and manage registration forms using TeamSnap, ActiveNet, and SportsEngine
- Own the registration process from setup through participant enrollment
- Process player registrations and governing body requirements




- Support Technical Directors with roster management and administrative operations

Internal Operations

- Work directly with Technical Directors and General Managers to support daily operations
- Create and manage participant lists, registration forms, waivers, injury reports, and more
- Manage our internal HR system, process new staff onboarding, and manage staff contracts
- Coordinate master schedules and manage time-tracking software
- Prepare and process biweekly and monthly payroll
- Assist with staffing logistics for programs, camps, leagues, and events
- General office management (supplies, cleanliness, organize equipment, etc)

Systems & Operations Improvement

- Maintain organized Google Drive folders, documents, spreadsheets, and internal systems
- Improve and document operational workflows and business processes
- Develop Standard Operating Procedures (SOPs) across all areas of the organization
- Leverage technology, automation, and AI tools to improve efficiency

Website & CRM Management

- Update website content using Squarespace (no coding experience required)
- Manage customer information within ActiveNet CRM
- Maintain registration pages and program information
- Ensure all online information is current, accurate, and easy to navigate

Event Support This role requires occasional evenings and weekends, particularly during major events and seasonal program launches, where you'll often be one of the first welcoming faces our families interact with.

Qualifications

Required

- 2-3+ years of experience working within a youth sports organization or similar environment
- Exceptional organizational skills and attention to detail
- Excellent written and verbal communication skills
- Experience using TeamSnap, SportsEngine, ActiveNet, or similar registration platforms
- Strong working knowledge of Google Workspace (Docs, Sheets, Drive)
- Ability to manage multiple priorities in a fast-paced environment
- Outstanding customer service and relationship-building skills
- Professional, dependable, and a solution-oriented problem solver
- Demonstrates ownership, initiative, and follows through without being asked
- Ability to collaborate effectively and quickly with our full-time and part-time team

Preferred





- Post-secondary degree in Sport Management, Sport Business, or similar
- Experience working with provincial or national sport governing bodies
- Experience updating websites using Squarespace
- Payroll and scheduling experience (RISE, QuickBooks, etc.)
- CRM or registration system administration experience
- Post-secondary education in Sport Management, Business, Recreation, or a related field

Compensation & Benefits

- Competitive salary of $55,000 - $65,000 annually, based on experience
