The Part-time Bookkeeper will be responsible for managing the day-to-day bookkeeping and invoicing functions that support the financial operations of the company. Working closely with the Financial Controller, this role will ensure financial transactions are processed accurately, customer invoices are prepared in a timely manner, and financial records are maintained in accordance with company policies and accounting best practices.
This is a part time hybrid position requiring 15 - 20 hours per week, with one in-office day each week (Tuesday or Wednesday) at our Head Office in Downtown Toronto.
Responsibilities Include:
Bookkeeping
- Record and maintain day-to-day financial transactions using accounting software.
- Process accounts payable, including entering vendor invoices, verifying supporting documentation, and preparing payments.
- Reconcile bank accounts, credit card statements, and other balance sheet accounts.
- Process employee expense reimbursements and maintain accurate supporting records.
- Maintain accurate financial records, vendor files, and supporting documentation.
- Assist with payroll administration by preparing payroll information and required documentation, as needed.
- Support month-end and year-end closing activities by preparing reconciliations and supporting schedules for the Financial Controller.
- Assist with audit preparation and respond to requests for financial documentation.
- Maintain confidentiality when handling financial and employee information.
Invoicing & Accounts Receivable
- Prepare and issue accurate customer invoices based on contracts, project information, or other supporting documentation.
- Review billing information to ensure invoices are complete and accurate before distribution.
- Monitor accounts receivable and follow up on outstanding customer balances in a qualified and timely manner.
- Apply customer payments and maintain accurate customer account records.
- Investigate and resolve invoicing discrepancies in collaboration with internal teams and clients.
- Prepare accounts receivable reports and aging summaries for management and the Financial Controller.
Administrative Support
- Generate routine financial and bookkeeping reports.
- Assist with maintaining accounting procedures and documentation.
- Identify opportunities to improve bookkeeping and billing processes.
- Respond to financial inquiries from employees, vendors, and clients.
- Provide administrative support related to financial operations and special projects as assigned.
Qualifications
- Post-secondary education in Accounting, Bookkeeping, Business Administration, or a related field.
- Minimum 2 - 3 years of bookkeeping experience.
- Experience with customer invoicing, accounts receivable, and accounts payable.
- Experience using Quickbooks Online.
- Strong proficiency in Microsoft Excel and Microsoft Office applications.
- Sound knowledge of Generally Accepted Accounting Principles (GAAP).
- Strong knowledge of bookkeeping principles and financial record keeping.
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills.
- Strong analytical and problem-solving abilities.
- Excellent written and verbal communication skills.
- Professionalism and discretion when handling confidential financial information.
- Ability to work independently while collaborating effectively with internal teams.
Working Conditions
- Primarily desk-based work involving prolonged periods of sitting and computer use.

Pay: $30.00-$35.00 per hour
