Position Summary

Temporary Part-Time Support Staff, new position (August 17, 2026 – September 25, 2026) The Enrolment Officer is a member of the Records and Registration team within the Registrar’s Office and plays a key role in maintaining accurate student records and supporting registration processes. Working within the Student Information System (SIS), the incumbent performs a variety of administrative functions related to student enrolment, registration, academic records, fees, and customer service.

The Enrolment Officer serves as a resource to students, faculty, academic leadership, and administrative departments, resolving registration-related issues, ensuring data integrity, and providing guidance on policies and procedures. The incumbent is expected to uphold the Registrar's Office values of respect, quality, and integrity in all interactions and decision-making.

Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement, Monday to Friday, 8:30 a.m. to 2:30 p.m., with one day on-site at the Doon campus located at 299 Doon Valley Dr. in Kitchener, and four days remote.

Responsibilities

- Creates, maintains, and updates student registration and enrolment records in accordance with College policies, procedures, and established service standards




- Processes a variety of student record transactions, including registration changes, withdrawals, credit transfer activity, personal information updates, and other enrolment-related requests
- Reviews student records and enrolment information to identify, investigate, and resolve discrepancies while ensuring data accuracy and compliance with college requirements
- Prepares and issues enrolment, registration, and academic record documentation for students and external organizations, including government and immigration-related agencies
- Provides guidance and support to students regarding registration, enrolment status, academic records, fees, policies, procedures, and related services
- Serves as a resource to faculty, academic leaders, and administrative departments on registration processes, student record matters, and the interpretation of applicable policies and procedures
- Processes and maintains official student records, including academic standing and transcript-related activities, while ensuring the confidentiality and integrity of student information
- Collaborates with internal stakeholders to resolve complex registration, timetable, fee, and student record issues and to support a positive student experience
- Monitors enrolment and registration activities, identifies issues and trends,



and takes appropriate action to support student success and operational effectiveness
- Supports the maintenance and accuracy of student information systems, registration processes, and related communications
- Supports Continuing Education registration and related records activities as required

Qualifications

- A two-year diploma in Business Administration, Communications, or other education-related field is required
- Minimum three years of experience working in a student-oriented customer service workplace with large database systems is required, preferably within a post-secondary institution
- Excellent client service skills and the ability to respond with tact, respect, integrity, and professionalism
- Excellent oral and written communications and listening skills
- Demonstrated ability to work under pressure and in demanding situations
- Ability to think critically and apply sound judgment to situations
- Strong analytical and problem-solving skills
- Computer literacy, including MS Office with an emphasis on Excel skills
- Strong interpersonal and intercultural awareness skills to interact with a diverse student and client base
