Payroll Documentation Specialist (Part-Time, Temporary Project)
Location: Downtown Toronto (Conveniently accessible via TTC and GO Transit)
Position Type: Part-Time, Temporary / Project-Based (estimated project for approx. 6 months)
Hours: 9am – 4pm but various dates during the business weeks
Pay Rate: commensurate with experience/certification - $25 – 35/hr
About the Opportunity
We are seeking an experienced payroll professional to support a specialized Payroll Documentation Project. This role is ideal for someone looking for flexible, part-time work, including consultants, independent contractors, or recently retired payroll professionals interested in project-based assignments.
The successful candidate will work closely with the Payroll Manager, observing, documenting, and mapping payroll processes across bi-monthly payroll cycles and year-end payroll activities. The objective is to create comprehensive process documentation, workflows, and operating procedures that capture critical payroll knowledge and ensure consistency and continuity.
Key Responsibilities
- Shadow and observe the Payroll Manager during regular bi-monthly payroll processing cycles.
- Document detailed payroll procedures, workflows, controls, and key activities.
- Capture end-to-end payroll processes, including payroll inputs, validations, approvals, reconciliations, and reporting.
- Observe and document year-end payroll activities, including:
- Year-end reconciliations
- Tax reporting processes
- Payroll balancing activities
- Regulatory compliance procedures
- Year-end remittances and reporting requirements
- Help to create clear and comprehensive process documentation, standard operating procedures (SOPs), process maps, and knowledge transfer materials.
- Identify process dependencies, critical timelines, risks, and key controls.
- Work collaboratively with payroll and leadership teams to validate documentation accuracy.
Qualifications
Required
- Proven payroll experience in a Canadian payroll environment (multi-Province experience an asset).
- Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) designation or working towards a Payroll designation.
- Strong understanding of end-to-end payroll processing and payroll compliance.
- Experience using SAP an asset.
- Exceptional communication and interpersonal skills; strong writing capabilities
- Excellent documentation, analytical, and organizational skills.
- Ability to translate complex processes into clear, user-friendly documentation.
- High degree of confidentiality, professionalism, and attention to detail.
- Experience with process mapping, business process documentation, or knowledge management projects.
- Consulting or project-based payroll experience.
