The Role
Reporting to the Manager of Human Resources, the Payroll & HR Coordinator is responsible for the preparation and transmission of two payrolls, as well as coordinating the end-to-end recruitment function for unionized staff.
Specific Responsibilities include:
Payroll, Benefits and Pension
- Responsible for full cycle semi-monthly payroll for 17 employees as well as a bi-weekly payroll for 130 employees using biometric time clocks and web-based payroll software (Payworks).
- Reviewing employee timecards using a Time and Attendance system, identifying inconsistencies, liaising with site managers/supervisors to resolve issues and payroll discrepancies; maintaining the payroll database and printed copies as backup
- Maintaining the HRIS, including performing employee enrolments, wage increases, changes, deletions and terminations in the payroll system, time clock system and group perks plan.
- Preparing ROEs as needed.
- Preparing and managing seniority reports, monthly payroll reports, ensuring that proper vacation accrual percentages are being calculated, and tracking timing of employee pay rate changes and advising managers of same.
- Administering the registered pension plan database.
- Administering the Group Benefit Plan
Human Resources
- Preparing and distributing internal job postings, as well as the posting of job vacancies on external sites e.g. Indeed
- Manage on-boarding, including ensuring that all new hire documents are completed and signed.
- Responsible for setting up and maintaining all employee administration and medical files, records retention and current hire documentation in a thorough and organized filing system.
- Maintaining and updating the HRIS system; inputting, updating, uploading and tracking of all employees’ education, skills, annual in-service and performance reviews and advising supervisors of upcoming review dates.
- Maintaining all HR files (electronic and printed copies)
To qualify for the role, you must have:
- Diploma in Human Resources Management or a related field
- Completion of Payroll Compliance Practitioner designation from the National Payroll Institute
- CHRP or CHRL designation or working toward certification is an asset.
- Minimum of 2 years of full cycle payroll administration experience (payroll of a minimum of 100 employees)
- Experience with Payworks software

Pay: $52,000.00-$57,000.00 per year
