Rail Shop Services Inc. (RSSI) is an Edmonton-based industrial contracting company specializing in innovative design, construction, installation, and maintenance solutions. While we have extensive experience in the railway industry, our work spans a wide range of industrial environments.

We design, build, install, and maintain custom systems and facilities for clients across a variety of industries, including diesel locomotive shops, wastewater facilities, bulk fuel dispensing systems, tank farms, pipelines, and industrial machinery.

We are looking for a Procurement Specialist to join our team and provide purchasing, materials, logistics, and inventory support to our engineering, trades, project management, and office teams.

About the Role

Reporting to the Operations Manager, the Procurement Specialist is responsible for ensuring that the materials, parts, equipment, and services required for our projects are sourced, purchased, tracked, received, and documented accurately and on time.

This is a hands-on, detail-oriented position that requires someone who can work independently, communicate effectively with suppliers and internal teams, and manage multiple priorities in a project-driven environment.

Key ResponsibilitiesProcurement & Supply Chain

- Coordinate procurement activities to support project schedules and successful project execution.
- Identify and address long-lead equipment and material requirements before they become project bottlenecks.
- Review engineering material lists, drawings, specifications, and project requirements to determine purchasing needs.
- Source and order parts, materials, equipment, and services from appropriate suppliers.
- Maintain relationships with vendors and communicate with suppliers regarding pricing, availability, lead times, and delivery requirements.
- Ensure appropriate vendors and standard parts are used to improve purchasing efficiency, consistency, and cost control.
- Assist with sourcing spare and consumable parts for clients and projects.
- Track purchase orders from initial request through delivery and completion.

Inventory & Materials Management
- Assist with the development, implementation, and ongoing improvement of inventory management systems and processes.
- Maintain accurate records of ordered, received, issued,



and in-process materials.
- Track materials to ensure proper identification, documentation, and traceability.
- Monitor parts and equipment sent out for repair, including tracking repair status and ensuring proper documentation and return.
- Work with engineering, trades, and project teams to ensure materials are available when required.

Shipping & Receiving
- Receive, inspect, and document incoming shipments in accordance with company procedures.
- Coordinate outgoing shipments and ensure materials are properly packaged, labelled, and documented.
- Arrange freight and courier services as required.
- Track shipments and follow up on delays, discrepancies, damaged goods, and missing items.
- Maintain accurate shipping and receiving records.

Project & Administrative Support
- Ensure purchased materials and services are properly recorded for project costing and invoicing.
- Assist with project cost tracking and procurement documentation.
- Compile and assist with the preparation and control of project Operations & Maintenance (O&M;) manuals and related documentation.
- Complete purchase orders, invoice worksheets, receipts, expense reports, timesheets, and other administrative documentation accurately and on time.
- Maintain accurate electronic records and use company software and systems to complete procurement and administrative tasks.
- Provide general support to the Operations Manager, engineers, tradespeople, project teams, and office staff as required.

Safety
- Participate fully in the company's health and safety program.
- Follow established protected work practices and procedures.
- Complete required safety documentation and training.
- Maintain a safe, organized, and professional work environment.

What We're Looking For The ideal candidate is organized, resourceful, detail-oriented, and comfortable working in a fast-paced industrial environment.



You should be able to manage multiple priorities while maintaining accurate purchasing, inventory, and project records.

Required qualifications and skills:

- Strong experience in procurement, purchasing, supply chain, inventory, logistics, or a related field.
- Advanced proficiency in Microsoft Excel.
- Strong working knowledge of Microsoft Word and Outlook.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Strong organizational, analytical, and problem-solving skills.
- Ability to prioritize work and manage multiple competing deadlines.
- Ability to communicate effectively with suppliers, engineers, tradespeople, project managers, and office staff.
- Robust work ethic and a willingness to take ownership of responsibilities.
- Ability to work independently while contributing effectively to a multidisciplinary team.
- Comfortable working in an industrial/project-based environment.
- Physically capable of lifting up to 70 lbs, frequently climbing ladders, and working on your feet for extended periods.
