As a Project Coordinator , you will be an essential part of the operational success of our lighting projects — ensuring accuracy, communication, and smooth execution from kickoff to delivery. You will work closely with distributors, clients, engineering, and production to support every stage of the project lifecycle.

Key Responsibilities

- Coordinate and manage project timelines, deliverables, and workflows
- Act as the main point of contact for distributors, clients, and internal teams
- Prepare and maintain project documentation, schedules, and status reports




- Prepare lighting coordination documents for client & project manager approval
- Create, track, and respond to RFIs (Requests for Information) to ensure clarity and alignment
- Prepare, submit, and follow up on submittals for approval by clients, engineers, and project managers
- Generate, process, and manage purchase orders in accordance with project requirements
- Track manufacturing timelines and delivery schedules to ensure on-time project execution
- Support the sales team with product specifications, pricing, and customer needs
- Monitor inventory levels and coordinate with production for custom builds or large orders
- Proactively identify and resolve project challenges
- Ensure timely, clear communication across all stakeholders
- Contribute to workflow improvements as LEDPAX continues to scale

Qualifications

- 2–5 years of project coordination experience (lighting, construction, or manufacturing preferred)
- Excellent organization and multitasking abilities
- Strong communication and customer service skills
- Proficiency with project management tools (Asana, Monday.com, etc.) and Microsoft Office
- Detail-oriented, analytical, and proactive in problem-solving
- Bilingual (English/French) a plus
