Pontem Group and Bridgemark Development are seeking a Project Coordinator to support our growing portfolio of building code, design, and real estate development consulting projects. This role is ideal for someone who enjoys working on diverse and technically driven projects in a collaborative consulting environment.

You will also be working closely to support our team at Bridgemark Development, which is a real estate development and project management firm that combines hands-on development with professional owner's representation services.

About Bridgemark Development

At Bridgemark, our team develops our own portfolio of boutique multiplex and small-scale residential projects while also providing development management and owner's representative services to clients. We support projects from site acquisition and feasibility through design, approvals, construction, occupancy, and warranty.

Every project is unique, providing an excellent opportunity to gain exposure to all facets of the development process across multiple asset classes.

The successful candidate will play a key role in coordinating project documentation, supporting building permit submissions, and facilitating communication between internal technical teams and external stakeholders. Strong organizational skills, attention to detail, and the ability to manage multiple priorities are essential. Occasional travel to job sites may be required.

The Project Coordinator will assist both Pontem Group and Bridgemark Development in organizing, coordinating, and supporting the planning, design, approvals, procurement, construction, project closeout, and warranty phases of multiple development projects.

Working as part of the consultant and/or owner's representative team, you will collaborate with consultants, contractors, municipalities, clients, and other stakeholders to help deliver successful projects while ensuring quality, schedule, budget, and project objectives are achieved.

This role is ideal for someone who wants broad exposure to real estate development, the construction industry, and project management, with opportunities to grow into increased responsibility over time.

The Project Coordinator will join the Project Coordinator team at Pontem Group, reporting directly to the Lead Consultant at Pontem Group, but will also work closely with the Principal of Development at Bridgemark Development. Time allocation between Pontem Group and Bridgemark Development will scale dynamically based on active project work and strategic priorities,



but is expected to begin at a 70/30 split respectively.

Both Pontem Group and Bridgemark offices are located within the same building so travel between offices is not required.

Qualifications

· Diploma or Bachelor's degree in Engineering, Construction Management, Project Management, or a related discipline.

· 3+ years of experience in real estate development, construction, consulting, engineering, or project management.

· Ability to read and markup drawings and specifications.

· Understanding of the design and construction process for residential, mixed-use, and commercial developments.

· Strong organizational and time management skills with the ability to manage multiple priorities.

· Excellent written and verbal communication skills.

· Detail-oriented with strong problem-solving abilities.

· Ability to work independently while collaborating within a small, fast-paced team.

· Proficiency in Microsoft Office. Experience with Microsoft Project, Bluebeam, Procore, or other project management software is considered an asset.

Project Coordination & Administration

· Assist in the management of multiple development projects at various stages simultaneously.

· Maintain organized project documentation, correspondence, and digital filing systems.

· Prepare meeting agendas, record minutes, track action items, and follow up on outstanding items.

· Monitor project schedules, milestones, budgets, risks, and key deliverables.

· Prepare and maintain regular project reporting for clients, including updates on project progress, budget, schedule, risks, and outstanding issues.

Design Phase

· Coordinate and monitor consultant deliverables to ensure alignment with project schedules and milestones.

· Manage document control, including tracking drawings, specifications, revisions, and consultant submissions.

· Coordinate consultant tender packages and support procurement activities.

· Attend design coordination meetings, monitor adherence to project objectives, and document decisions, action items, responsibilities, and due dates.

· Review consultant drawings and reports for completeness, coordination, and consistency with project objectives.

· Assist with municipal approvals including rezoning, development permits, building permits, servicing agreements, and other regulatory applications.

Procurement & Tendering

· Assist with the procurement of consultants, contractors, and suppliers.

· Coordinate tendering activities, bid evaluations, and contract documentation.





· Review and provide comments on contractor recommendations for subcontractor and supplier awards prior to contract execution.

Construction Phase

· Coordinate day-to-day project administration during construction, including document control for RFIs, SIs, Submittals, Shop Drawings, Change Orders, and other project documentation.

· Manage field review documentation and generate monthly reports to the Authority Having Jurisdiction

· Attend construction progress meetings and assist in monitoring project schedule, budget, quality, and overall progress.

· Review monthly progress claims with the contractor and consultant team, identify discrepancies, and recommend revisions prior to client approval.

· Review Notices of Change and Change Order Requests, obtain consultant input, and prepare recommendations for client approval.

· Monitor project risks and proactively identify issues that may impact scope, schedule, budget, or quality.

Project Completion & Warranty

· Coordinate occupancy and substantial completion processes, including required documentation and inspections.

· Facilitate deficiency inspections.

· Coordinate building systems commissioning and turnover, including demonstrations and training for the owner, where required.

· Monitor the project closeout process, ensuring the contractor provide all required closeout documentation, including operation and maintenance manuals, as-built drawings, warranties, commissioning records, testing reports, and other turnover requirements.

· Coordinate the review of the Certificate of Total Performance issued by the consultant team and confirm that outstanding deficiencies, closeout requirements, and contractual obligations have been addressed prior to recommending release of the contractor’s final holdback to the client.

· Perform additional coordination duties as assigned.
