Location: Montreal, QC
Work Model: Hybrid – 4 days onsite / 1 day remote
Contract: 9 months initially, with possible extension
Hours: Full-time, 40 hours/week
Language: Bilingual English & French required; Spanish is an asset
Role Overview
We are looking for an experienced Document Coordinator to support project document management and control activities across large-scale engineering and construction projects. The successful candidate will work closely with project teams, contractors, suppliers, and stakeholders to ensure accurate, timely, and high-quality project documentation throughout the project lifecycle.
Key Responsibilities
Coordinate and maintain project documentation and document control processes.
Review and perform quality checks on deliverables received from contractors and engineering service providers.
Support project setup, document management, handover, and close-out activities.
Track and follow up on outstanding deliverables and RFI documentation.
Coordinate with contractors and project stakeholders to ensure timely document submissions.
Prepare and distribute weekly document expediting reports.
Conduct regular contractor check-ins and review document schedules.
Maintain document distribution matrices and ensure data accuracy.
Provide training and technical support to internal and external users.
Support onboarding and training of Document Controllers.
Conduct user training for InEight and SharePoint.
Attend project and coordination meetings and follow up on action items.
Monitor document control workload and escalate unresolved issues to the PDM Lead.
Support InEight and SharePoint access requests.
Identify opportunities for process improvement and participate in continuous improvement initiatives.
Requirements
5+ years of experience in Document Control, Document Coordination, or Project Data Management.
Experience supporting engineering and construction projects.
Experience with large-scale or complex projects.
Experience coordinating or managing Document Control teams.
Strong understanding of document control processes and project lifecycle requirements.
Experience working with contractors, suppliers, vendors, and project stakeholders.
Strong communication, coordination, and stakeholder management skills.
Excellent organizational and attention-to-detail skills.
Ability to work effectively in a fast-paced project workplace.
Bilingual English & French is mandatory.
Spanish is an asset.
Technical Skills
InEight Document – preferred
SharePoint – required
Microsoft Office – required
Document Control / Project Data Management systems
Document tracking, reporting, data cleansing, and quality control
Preferred Experience
Document control experience across the full project lifecycle, from early-stage studies through project handover and close-out.
Experience working onsite or supporting field/project teams.
Experience with project setup and contractor onboarding.
Experience driving document control process improvements.
