Position Overview

We are seeking an experienced and detail-oriented Property Accountant / Office Administrator to manage the day-to-day accounting functions for a portfolio of commercial properties while also providing administrative and clerical support to the office. The role covers the full accounting cycle, including accounts payable and receivable, tenant billings, account reconciliations, monthly financial reporting, cash flow monitoring, and year-end support for external accountants.

This position is well suited to a self-motivated professional who can balance accounting responsibilities with general office administration, works effectively with limited supervision, maintains strict confidentiality, and is comfortable working in a small, quiet office environment.

Key Responsibilities

· Process accounts payable through an electronic approval system and prepare payments, including cheques where required.

· Respond to vendor inquiries and resolve account discrepancies.

· Maintain the monthly tenant rent roll, record deposits, monitor receivables, and coordinate follow-up on overdue accounts with management.

· Prepare tenant billings for additional charges, rate adjustments, and other recoverable costs.

· Prepare annual operating cost and additional rent reconciliations and communicate supporting details to tenants.

· Review and respond to tenant requests for account information and supporting documentation.

· Prepare and remit HST, payroll source deductions,



and corporate tax instalments within required deadlines.

· Prepare MPAC forms and related property documentation, as required.

· Monitor cash requirements and provide timely reporting to management.

· Reconcile and maintain supporting analysis for balance sheet and income statement accounts.

· Prepare monthly financial statements, account analysis, and variance commentary.

· Prepare year-end schedules, working papers, and supporting analysis for external accountants.

· Maintain accurate tenant, vendor, lease, and accounting records in the property management software.

· Track tenant certificates of insurance and follow up on outstanding or expired documents.

· Identify opportunities to improve accounting workflows, reporting, and internal controls.

· Provide general office administration and clerical support to management and other staff.

· Prepare, format, proofread, and distribute letters, reports, spreadsheets, forms, and routine correspondence.

· Manage incoming telephone calls, email, mail, courier deliveries, and general office inquiries.

· Maintain organized electronic and paper filing systems for accounting, tenants, property, vendor, and corporate records.

· Schedule meetings, maintain calendars, and assist with meeting materials and follow-up items.

· Order office supplies and coordinate routine servicing of office equipment and systems.

· Assist with document scanning, copying,



filing, data entry, record retrieval, and other clerical tasks.

Qualifications and Experience

· University degree or college diploma in accounting, finance, business, or a related field.

· CPA designation, or active progress toward a CPA designation, is an asset.

· At least three years of accounting experience; commercial property accounting experience is preferred.

· Experience with Yardi or Yardi Breeze property management software is preferred.

· Intermediate to advanced Microsoft Excel skills and strong working knowledge of Microsoft Word and Outlook.

· Previous office administration or clerical experience is preferred.

· Strong document preparation, filing, data entry, and general office organization skills.

Position Details

Compensation: Open for discussion based on experience. Provide your compensation expectation.

· Full time, permanent position.

· 40 hours per week, Monday to Friday.

· Eight-hour shifts. 8:00am to 4:00pm

· On-site work in a small office environment.

· No weekend work.
