We’re looking for a detail-driven Quoting Coordinator to join our growing team. You’ll be responsible for preparing timely, professional quotes for steel and aluminum light poles and related accessories - including mast arms, base plates, anchor bolts, and mounting hardware.
In this role you will work closely with our suppliers and customers to ensure every quote is precise, clear, and responded to promptly. This is a long-term quoting role. While responsibilities may expand within the quoting function, this position is not a pathway to engineering, drafting, or supervisory roles.
Responsibilities
- Review RFQs, drawings, and specifications to confirm scope and build complete Bills of Materials (poles, arms, bases, finishes, hardware, etc.)
- Prepare professional quotes with transparent inclusions/exclusions, validity dates, and lead-time notes
- Communicate directly with customers - municipalities, contractors, and distributors to clarify requirements and issue revisions
- Request and compare supplier pricing for materials, galvanizing, and powder coating
- Generate estimates into inventory software (training provided if needed)
- Track quote activity (status, follow-ups, expiry dates) in organized spreadsheets
- Keep current product and price lists up to date
- Maintain and refine quote templates and checklists; ensure technical accuracy (bolt circle, anchor patterns, EPA/wind load notes)
- Perform other duties as may be reasonably required to support the company and management
Qualifications
- Previous experience in customer service, administrative coordination, estimating support, or order processing
- Familiarity with light poles, fabricated metal products or similar industries beneficial but not required
- Robust attention to detail and analytical approach
- Clear and skilled written and verbal communication skills.
Confident and very comfortable when speaking with team members, customers, and vendors in person and on the phone
- Proficiency in Microsoft Excel and general computer software programs
- Ability to read and interpret basic technical drawings/specifications
- Strong organizational skills with the ability to manage multiple quotes, timelines, and follow-ups simultaneously
- Reliable, self-motivated, and willing to learn new products, systems, and processes consistently
Nice-to-Haves (Preferred, Not Required)
- Knowledge of CSA/ASTM materials, welding, finishing
- Experience using CAD or PDF markup tools
- Understanding of cross-border quoting (USMCA/CUSMA, duties, tariffs)
- Exposure to QuickBooks and/or other inventory software
Schedule
- Start part-time with flexible hours (20–30 hrs/week) Will need to be available for training and meetings on-site in Coquitlam
- Expectation to grow into full-time (40 hrs/week) as quoting volume increases. Must have ability to work from home
