Our focus on building communities is carried out in many ways, and everyone at Porte is encouraged to get involved. We fundraise each holiday season for the Food Bank, we set aside a budget to match employee charitable donations, and we run a charity from our office called Cassie + Friends that is dedicated to changing the lives of children who are living with Juvenile Arthritis. Plus, we give back to the community through each of our new developments by donating $100 per home that is built to the Breakfast Club of Canada to help ensure kids don’t go to school hungry.

Job Summary The Reception & Culture Coordinator is the first point of contact for Porte Communities, delivering a warm and professional experience for visitors, guests, and clients while keeping the office running smoothly day-to-day. This role also plays a key part in shaping workplace culture, coordinating employee celebrations, social events, onboarding support, and the Porte Cares Program. In addition, this position provides administrative support to the Accounting and Property Management teams.
Key Job Duties:
Reception & Office Administration
- Serve as the first point of contact, managing incoming calls and greeting visitors, guests, and clients warmly.
- Direct visitors and maintain meeting room presentation.
- Support daily and biweekly team meeting logistics.
- Coordinate courier and mail services, including sorting and distribution.
- Maintain a clean, organized, and well-stocked office environment, including shared spaces.
Office Coordination & Culture Support
- Support company communications, employee onboarding, and celebrations (birthdays, anniversaries, socials).
- Plan and coordinate Porte Social events and support the Porte Cares Program.
- Promote a fun, supportive, and engaging workplace culture.
- Participate in Porte social events and culture initiatives outside regular office hours, as required.
Administrative & General Office Support
- Assist with document preparation and general research as needed.
- Manage office supplies, equipment, and related vendor accounts.
- Track office and event spending, flagging variances to the People & Culture Manager.
- Organize receipts and support expense tracking for office purchases.
- Assist with corporate website updates and track visitor analytics.
- Prepare statistical and courier tracking reports as needed.
Property Management Team Support
- Conduct customer service and survey calls for Commercial and Residential tenants.
- Support Property Management meetings, agendas, and reporting.
- Track and post weekly property management stats for the team.
- Coordinate tenant anniversary gifts.
- Perform additional duties as required.
Qualifications: Education & Experience
- High school diploma required; post-secondary education in office administration or customer service is an asset.
- Minimum 2 years of experience in reception or office administration.
Skills & Competencies
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent administrative and organizational skills.
- Customer service-oriented with a commitment to exceeding expectations.
- Strong interpersonal skills with the ability to interact positively with clients, team members, and stakeholders.
- Familiarity with website platforms (e.g., WordPress) is beneficial but not required.
- Basic graphic design skills (e.g., Canva) are an asset.
