Your responsibilities will include

- Answering and directing incoming phone calls professionally
- Greeting clients and managing the front reception area
- Responding to routine client emails and inquiries
- Taking accurate and detailed messages for accountants and other team members
- Scheduling and coordinating client appointments
- Following up with clients for missing information, documents and signatures
- Receiving, organizing, scanning and distributing client documents
- Assisting clients with electronic signatures and our online client portal
- Updating client information and job statuses in our internal systems
- Processing and recording client payments
- Preparing and sending routine client correspondence
- Coordinating document pickups and drop-offs
- Keeping client records and digital files organized
- Assisting our accounting team with administrative tasks
- Helping ensure client requests don't get lost or forgotten
- Maintaining a professional, organized and welcoming office environment

As you become familiar with our firm and processes, there will be opportunities to take ownership of additional client-service and administrative responsibilities. What We're Looking For The right person will be:
- Very comfortable with computers and learning new software
- Able to navigate multiple programs and systems throughout the day
- An excellent written and verbal communicator
- Comfortable communicating directly with clients by phone and email
- Highly organized and detail-oriented
- Able to prioritize multiple requests without becoming overwhelmed
- Resourceful and capable of solving basic problems independently
- Professional and friendly when dealing with clients
- Reliable and punctual
- Comfortable following established processes and checklists
- Able to recognize when something needs to be escalated to an accountant
- Careful when handling confidential financial and personal information
- Someone who takes ownership of their responsibilities rather than waiting to be reminded

Experience Previous reception,



administrative or client-service experience is strongly preferred.

Experience working in an accounting firm, law firm, financial-services company, insurance office, medical/dental office or other professional-services workplace would be considered a strong asset.

Accounting or tax knowledge is not required. We can teach you our processes.

What matters more is that you're intelligent, organized, professional, comfortable with technology and able to learn quickly.

Technology

You should be comfortable working with:

- Microsoft Outlook
- Microsoft Word and Excel
- Email and calendar systems
- PDF documents
- Online client portals
- Electronic signature software
- Cloud-based business software

Experience with accounting or practice-management software is an asset but not required. You don't need to know every program we use on day one, but you must be comfortable learning new technology.

About the Position

- Full-time, permanent position
- Monday to Friday
- In-office position in Calgary
- Salary of $40,000–$50,000 per year, depending on experience
- Professional office environment
- Training provided on our firm's systems and procedures
- Opportunity to grow into greater client-service and office-management responsibilities
