Secretary (D) Learning Services - Program Applicants will be considered in the following order:

1) Qualified permanent ESS/OSSTF Bargaining Unit employees

2) Qualified probationary, temporary and Temporary Hourly Rated (THR) ESS/OSSTF employees

3) Qualified external applicants (includes employees from other Bargaining Units)

Reporting to the System Administrator(s), Learning Support Services Department, the successful candidate will be responsible for supporting the day-to-day activities of the Learning Services - Program.

The successful applicant for this Educational Support Staff position, Level D, will be working 35 hours per week, 10 months per year, effective August 31, 2026.

Responsibilities

- Provide general secretarial duties and support to Learning Services;

- Answering and responding to telephone calls and emails;
- Clerical support for the System Administrator(s)'s (SA) and their LSS team as indicated in your SAs portfolios;
- Organizing interview schedules and related communications with the interview team and candidates;

- Preparing letters, memos and agendas, etc. as requested by your System Administrator;

- Providing assistance to the consultants and itinerant staff associated with your SA;

- Initiating, Tracking, and Reconciling the PD Instructions/OT Release Time Forms for initiatives that take place under your SA’s portfolios;

- Coordinating arrangements for meetings, presentations, and reporting requirements to the Board and the Ministry;

- Interacting effectively with staff in a confidential manner;

- Attending meetings and taking notes as required;

- Assist with managing and recording absences using EasyConnect;

- Maintain good public relations;
- Support budget management, preparing purchase requirements and data entry for numerous budgets;

- Supporting, tracking and communicating in regard to the budget allocations for projects that fall within the SA’s portfolio, as requested by your SA;

- Reviewing, reconciling and notifying your SAs when your pcard and their monthly pcard statement has been updated with the correct budget codes,



receipts uploaded and it is ready for approval each month in BMO Spend Dynamics;

- Prepare for LSS Quarterly and Year-End Finance Budget meetings, as requested by SAs;

- Order supplies, resource materials, maintain inventory, photocopy and fax materials;

- Assisting LSS team with understanding the online expense reimbursement process and submitting expenses in a timely fashion as per your SA’s portfolio and as requested;

- Assist in planning of special events; and

- Perform other duties as required

Qualifications

- Office administration diploma (2 year diploma program), plus a minimum of 2 years in a public education setting, or equivalent administrative experience in the office skills required on a daily basis in a public education system;

- Excellent working knowledge and experience using MS Office applications (Excel, spreadsheets, Word, Access) and Google Suite Applications (Slides, Docs, Sheets, etc) and ASPEN are required;

- Experience, knowledge and use of a various computer software platforms, including but not limited to Aspen, Apply to Education, ProLearn and WordPress;
- Experience and knowledge of K-12;

- Ability to work as a adaptable team member;

- Excellent interpersonal skills;

- Excellent organization, time management and problem solving skills with proven attention to detail;

- Ability to complete assigned duties with minimal supervision and problem solve situations as they arise;
- Ability to communicate effectively in both written and oral forms;

- Excellent proofreading skills.
