Edmonton

We are an established, independent financial planning practice in Edmonton looking for an exceptional person to become a key member of our team.

This isn't a traditional administrative position.

We are looking for someone who enjoys being the person who knows what is going on, gets things done, solves problems and takes care of clients.

In a smaller financial planning firm, everyone matters. This position will work closely with our advisors and clients and will play a central role in keeping our practice organized, responsive and running smoothly.

The right person will be highly trusted, capable of working independently and comfortable taking ownership of their responsibilities. You won't need someone constantly telling you what to do next. You'll be someone who sees what needs to happen and makes it happen.

If you enjoy responsibility, variety, solving problems and building long-term relationships with clients, this could be an excellent career opportunity.

What You'll Do

Your responsibilities will span client service, financial-services administration and office operations, including:

- Serve as an important point of contact for clients and provide responsive, professional and friendly service.
- Coordinate and process investment transactions, account changes, transfers, contributions, withdrawals and related documentation.
- Assist advisors with preparation and follow-up for client meetings.
- Coordinate paperwork and follow-up with investment companies, insurance carriers and other financial institutions.
- Assist with life insurance applications, policy administration and ongoing client service.
- Maintain accurate client records, documentation and CRM information.
- Manage scheduling, correspondence and client follow-up.
- Track outstanding items and make sure commitments to clients don't fall through the cracks.
- Help improve office procedures, workflows and technology.
- Troubleshoot problems and find solutions rather than simply passing problems along.
- Support the advisors and the broader operation of the practice wherever needed.

Because we are a smaller firm, the role is varied. Some days will involve significant client interaction; others may involve investment administration, insurance cases, technology,

paperwork or solving an unexpected problem.

That variety is part of the opportunity.

The Person We're Looking For

Technical experience is valuable, but who you are and how you work are equally important to us.

You are likely someone who:

- Takes ownership and follows things through to completion.
- Can work independently without needing constant direction.
- Is extremely trustworthy and understands the importance of confidentiality.
- Is naturally organized and able to manage multiple priorities.
- Enjoys solving problems and figuring things out.
- Learns new systems and processes quickly.
- Is comfortable with technology and proficient with Microsoft Office/Microsoft 365.
- Communicates confidently and professionally with clients.
- Has excellent attention to detail.
- Remains calm when several things need attention at once.
- Looks for ways to make processes and systems better.
- Is dependable and takes pride in doing things properly.
- Enjoys working as part of a small, collaborative team.

We especially value someone with a “figure it out” mentality — someone who will investigate, learn, ask good questions and find a solution.

Experience That Would Be Valuable

Ideally, candidates will have experience in financial services, financial planning, investments, insurance, banking or a related professional-services environment.

Experience with any of the following would be particularly valuable:

- Mutual funds or investment administration
- Mutual fund registration/licensing
- Life insurance administration
- Life insurance licensing
- Financial planning or wealth management offices
- Investment account documentation and processing
- CRM/client management systems
- Microsoft 365 and other office technology

Mutual fund and/or life insurance licensing is an asset, not necessarily a requirement.

If you have strong financial-services experience and the right capabilities but don't currently hold these licences, we would still like to hear from you.

What Success Looks Like

After you've settled into the position, our advisors should be able to trust that when something is in your hands, it will get done.

Our clients should know you by name and feel comfortable contacting you.

You will understand how our practice operates, anticipate what needs attention, keep things moving and become someone both our clients and advisors rely upon.

Ultimately, we're looking for someone who wants to become an important long-term member of our firm rather than simply fill an administrative position.

Compensation & Benefits

Salary: $60,000–$80,000 per year, depending on experience, qualifications and licensing.

The position also includes

- Employee benefits
- Performance/annual bonus opportunities
- Paid vacation
- Professional development and training
- Support for relevant industry education/licensing
- A stable, skilled work environment
- The opportunity to take on meaningful responsibility within an established financial planning practice

Why Join a Smaller Financial Planning Firm?

There are advantages to working somewhere where your contribution matters.

You won't be employee #327.

You'll work directly with the people making decisions, develop relationships with our clients and have the ability to influence how we operate.

For the right person, this position offers considerable autonomy, responsibility and the opportunity to build a long-term career with our firm.

Interested?

Please submit your resume along with a short note telling us about yourself.

In particular, we'd like to know:

What attracted you to this position, and what experience or personal qualities do you have that would make you particularly effective in a small financial planning practice?

We appreciate everyone who applies and will contact candidates whose experience and background appear to be a strong fit.

Pay: $30.00-$41.00 per hour

- Disability insurance
- Employee assistance program
