Shipping & Logistics Coordinator
Location: Laval, Québec
Department: Warehouse / Logistics
Job Type: Full-time, Permanent
Schedule: Monday to Friday, 100% on-site / in office
About the Role
We are looking for a Shipping & Logistics Coordinator to join our team in Laval, Québec.
This is a fully on-site position. This role is not hybrid and does not offer remote work. The successful candidate will work from our Laval location five days per week and will regularly interact with our warehouse team and operations on the warehouse floor.
In this role, you will coordinate the day-to-day movement of goods across our supply chain, including inbound and outbound shipments for our Laval warehouse and third-party logistics (3PL) warehouse.
This is a hands-on coordination position suited to someone who is highly organized, proactive, and comfortable managing multiple priorities. You will work closely with carriers, freight forwarders, customs brokers, warehouse teams, our 3PL partner, Customer Service, Purchasing, and other internal departments to ensure shipments are processed accurately and delivered on time.
The successful candidate will take ownership of shipments from planning through completion, proactively follow up on delays and discrepancies, and ensure stakeholders have accurate and timely information.
SAP Business One experience is an asset, but not required.
Key ResponsibilitiesInbound Logistics
- Work closely with Purchasing to understand priorities and expected inbound orders.
- Coordinate with freight forwarders, carriers, customs brokers, and suppliers as required.
- Follow up on customs clearance and documentation issues.
- Monitor inbound shipments and communicate delays or discrepancies promptly.
- Maintain organized records of inbound shipments and supporting documentation.
- Coordinate the resolution of receiving or transportation discrepancies.
Outbound Logistics
- Coordinate daily outbound shipments from both the Laval warehouse and 3PL warehouse.
- Review shipping priorities and ensure orders are communicated to the appropriate warehouse.
- Coordinate parcel, LTL, FTL, and other freight shipments.
- Schedule carrier pickups and delivery appointments.
- Ensure customer-specific shipping requirements are communicated and followed.
- Prepare or coordinate Bills of Lading, shipping documents, labels, commercial invoices, and other required paperwork.
- Obtain and maintain tracking numbers, PRO numbers, and proof of delivery.
- Track priority shipments through final delivery.
- Investigate delayed, lost, damaged, refused, or incorrectly delivered shipments.
- Coordinate rush and expedited shipments when required.
- Proactively communicate shipping exceptions to Customer Service and other stakeholders.
3PL Coordination
- Coordinate inbound and outbound activities with the 3PL warehouse.
- Monitor open orders and shipments to ensure they are processed within expected timelines.
- Follow up on receiving delays, shipping delays, and operational exceptions.
- Ensure the 3PL has the information and documentation required to process shipments.
- Investigate discrepancies between expected and actual receipts or shipments.
- Maintain clear follow-up on outstanding 3PL issues through to resolution.
- Escalate recurring service or performance issues when appropriate.
Laval Warehouse Coordination
- Work closely with the Laval warehouse team to manage daily inbound and outbound priorities.
- Coordinate carrier arrival and pickup schedules.
- Follow up on orders that have not been picked, packed, or shipped as expected.
- Assist with resolving shipping and receiving discrepancies.
- Be comfortable regularly working on the warehouse floor to investigate and resolve operational issues.
- Maintain close communication with the warehouse team throughout the day.
Freight & Carrier Management
- Communicate and follow up with carriers, freight forwarders, and customs brokers.
- Request and compare freight quotes when required.
- Select appropriate shipping methods based on service requirements and cost.
- Monitor carrier performance and identify recurring service issues.
- Assist with freight claims involving lost or damaged shipments.
- Verify freight charges and investigate discrepancies when they arise.
- Identify opportunities to improve shipping efficiency, service levels, and freight costs.
Qualifications & Skills
- 1–2 years of experience in shipping, logistics, transportation, freight coordination, 3PL operations, or supply chain.
- Experience coordinating both inbound and outbound shipments is strongly preferred.
- Experience working with a 3PL or multiple warehouse locations is a strong asset.
- Understanding of parcel, LTL, and FTL transportation.
- Experience with shipping documentation, including Bills of Lading and commercial invoices.
- ERP experience is preferred; SAP Business One experience is an asset, but not required.
- Good working knowledge of Microsoft Excel and Microsoft Office.
- Strong organizational and follow-up skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Proactive problem-solving approach with strong attention to detail.
- Professional English required.
- Functional French required for communication with the Laval warehouse team.
- Comfortable working in a warehouse environment and addressing operational issues directly with warehouse teams.
- Must be available to work in office in Laval five days per week.
