Salary: Up to $85K
Key Responsibilities
Provide proactive administrative support to multiple Partners and Associates, including scanning, binding, file creation, and document formatting
Manage tasks related to commercial and residential real estate transactions such as title searches, corporate searches, and the preparation of detailed report books
Draft, revise, and proofread legal documents, correspondence, charts, and internal communications with a strong focus on accuracy and attention to detail
Maintain a high level of professionalism when interacting with clients, lawyers, and other internal team members
Generate accounts, prepare invoices, and assist with basic billing functions
Schedule meetings, coordinate appointments, and handle all logistics including couriers and document delivery for time-sensitive matters
Organize and maintain physical and electronic filing systems for the real estate department
Perform routine file audits and maintenance, including closing and archiving files and managing off-site storage for inactive materials
Qualifications
Legal Assistant Diploma from a recognized and accredited institution
Minimum 3 years of experience supporting commercial real estate lawyers in a busy law firm environment
Proficient in real estate software such as Teraview, Conveyancer/Unity, and Lawyer Done Deal—confident in performing searches, preparing and registering instruments, and managing transaction flow
Exceptional communication and client service skills; able to liaise professionally with clients, lawyers, and third parties
Known for accuracy, attention to detail, and the ability to meet tight deadlines without sacrificing quality
Excellent multitasking and time management abilities with a calm, solution-focused approach during urgent or high-volume periods
Strong writing, editing, transcription, and proofreading skills
Comfortable maintaining organized physical and electronic filing systems, calendars, and databases
Technically savvy with Microsoft Office (Word, Outlook, Excel, PowerPoint) and open to learning new tools
Exposure to Elite and a document management system (e.g., iManage or NetDocuments) is considered a robust asset
A true team player with excellent interpersonal skills and a professional, collaborative work ethic
