We are seeking a highly organized, detail-oriented Office Manager to oversee daily office operations while providing bilingual support in both Spanish and English. This role requires a proactive professional who can manage a dynamic environment with absolute discretion and professionalism. Given the nature of the organization and its leadership, confidentiality is non negotiable.
Key Responsibilities
Office Management & Operations
Oversee day-to-day office operations to ensure a smooth and effective work environment
Manage office supplies, vendors, and service providers
Coordinate schedules, meetings, and internal communications
Maintain organized filing systems (digital and physical)
Support onboarding of new staff and maintain office policies and procedures
Executive & Administrative Support
Provide high-level administrative support to senior leadership
Manage calendars, travel arrangements, and meeting logistics
Prepare reports, presentations, and correspondence
Act as a gatekeeper, handling sensitive information with professionalism and discretion
Translate written and verbal communications between Spanish and English accurately and efficiently
Assist in drafting, reviewing, and proofreading documents in both languages
Serve as a liaison in meetings or communications requiring bilingual support
Confidentiality & Diplomacy
Handle sensitive information with the highest level of confidentiality
Exercise sound judgment in all interactions, particularly given the diplomatic nature of one executive role
Maintain professionalism when interfacing with high-profile stakeholders
Qualifications
Fluency in both Spanish and English (written and spoken) is required
3+ years of experience in office management, executive assistance, or a similar role
Exceptional organizational and multitasking skills
Strong written and verbal communication abilities
High level of discretion, integrity, and professionalism
Proficiency in Microsoft Office Suite and general office systems

Experience working in environments requiring confidentiality or diplomacy
Solid problem-solving skills and ability to anticipate needs
Comfortable working in a fast-paced, high-responsibility setting
Work Schedule
Full time, Monday to Friday
In-office role based in Downtown Vancouver
