We’re looking for a hybrid Executive Assistant – Governance, fluent in English and French, within the agriculture industry, based in Ottawa.Our client operates within a national governance-focused environment and plays a central role in ensuring effective oversight, operational excellence, and strategic execution. This organization is known for its commitment to high standards, strong values, and the long-term sustainability of the Canadian industry it supports.The Executive Assistant-Governance role is integral to ensuring smooth governance operations, supporting the CEO, and enabling Board and committee effectiveness.The new Executive Assistant-Governance will be responsible for providing senior-level administrative, governance, and logistical support to the CEO, Board of Directors, and key committees.Executive Assistant-Governance ResponsibilitiesManage the CEO’s calendar, agenda, correspondence, and email with accuracy and discretionPrepare weekly summaries of business arising and ensure timely follow-up on action itemsCoordinate national and international meetings, including travel and event logisticsDraft, edit, and prepare correspondence, presentations, and briefing materialsMaintain and update internal web portals and document repositoriesBoard of Directors & Governance SupportServe as a key liaison between the CEO, Board members, committees, and internal stakeholdersCoordinate all Board and committee meetings, including space, interpretation, AV, catering, travel, and documentationPrepare, distribute, and archive meeting materials in both official languagesAttend Board and committee meetings and prepare formal minutesCirculate motions and directives and track follow-up itemsEnsure annual governance documentation is completedStrategic Planning & Organizational SupportCoordinate logistics for annual strategic planning sessionsSupport preparation and tracking of annual action plans and prioritiesPrepare strategic progress reports for Board presentationCommittee SupportMaintain annual meeting calendars and coordinate schedulingSeek input and prepare draft agendas in collaboration with the CEOManage meeting logistics and prepare materialsRecord minutes, prepare summaries, and track business arisingVendor, Contract & Travel CoordinationAct as liaison with hotels, AV, interpreters, and other vendorsManage guestroom reservations and meeting space for Directors and stakeholdersReview, manage, and upload meeting-related contractsSupport coordination of convention codes and negotiated hotel ratesCompliance & ConfidentialityEnsure compliance with governance and regulatory requirementsHandle sensitive information with strict confidentialitySupport governance-related documentation, including policy approvals and licensing amendmentsThe Successful Candidate Has7+ years of experience supporting a C-suite leader and Board-level governanceExperience in agriculture is an assetFrench/English bilingual proficiency, written and spoken is a mustStrong organizational and communication skills in both official languagesDemonstrated ability to manage complex logistics and multiple prioritiesExperience preparing minutes, board materials, and governance documentationHigh professionalism, discretion, and exceptional attention to detailStrong technical skills with portals, document management systems, and MS OfficeAbility to travel occasionally for meetings and events Based in the Ottawaarea with availability for a hybrid work modelCompensation and BenefitsThe discussed salary range is $75, 000– $90,000 depending on experienceCandidates with additional experience and higher compensation expectations may be consideredComprehensive perks packageFitness BenefitOne time home office allowancePensionOpportunities for professional growth and involvement in national-level governanceHybrid work environmentCandidates must be legally authorized to work in Canada.
