WAREHOUSE INVENTORY SPECIALIST
80% of this team member’s time should be spent supporting and maintaining accurate inventory records and coordinating the daily flow of inbound and outbound freight through the ORA warehouse. The role works closely with Planning, Client Solutions, brokerage, and the dock team to schedule freight, maintain SAP and transportation-system records, prepare documentation, resolve discrepancies, and support safe, timely, and efficient warehouse operations.

ROLE ACCOUNTABILITIES
· Execute defined solutions to meet Client expectations
· Negotiate and coordinate scheduling of Carrier Partners, agents, and sister companies in service of client orders
· Build relationships with North American Network preferred common carrier partners
· Ensure warehouse log is updated accurately with inbound/outbound orders
· Maintain flow of client paperwork that crosses the ORA dock daily
· Planning of consolidation loads to/from Reimer and partner terminals to predetermined agents ensuring on time service is met
· Cross train daily tasks to ensure complete coverage during absences
· Maintain accurate inventory quantities, locations, status, and movement records in SAP and other applicable systems.
· Complete and verify SAP transactions for receiving, put-away, transfers, adjustments, staging, shipment confirmation, and other inventory movements.
· Plan and coordinate inbound appointments based on expected freight, warehouse capacity, dock availability, labour requirements, and priority.
· Plan and coordinate outbound freight in line with client requirements, carrier schedules, terminal cut-offs, linehaul launches, delivery commitments, and trailer availability.
· Update the warehouse/dock log with all expected and completed inbound and outbound activity, including carrier, appointment, order, trailer,
and status details.
· Prepare, print, verify, and stage manifests, bills of lading, labels, packing lists, and supporting paperwork before carrier arrival.
· Confirm received and shipped quantities against SAP records and source documentation; investigate overages, shortages, damage, misdirected freight, and location discrepancies.
· Coordinate with the dock team to prioritize unloading, receiving, staging, loading, and freight transfers based on service requirements.
· Monitor inbound and outbound activity throughout the shift and proactively address late carriers, missed appointments, capacity concerns, incomplete paperwork, and other risks to service.
· Maintain clear, timely system notes and communicate changes, exceptions, and recovery actions to Planning, Client Solutions, Operations, and other stakeholders.
· Support route, load, and consolidation planning by providing accurate freight availability, cube, weight, location, and readiness information.
· Ensure freight removed from or added to a planned load is accurately reflected in SAP, the TMS, manifests, dock logs, and related documentation.
· Complete cycle counts and inventory audits; document findings, determine root causes, and process approved corrections.
· Escalate unresolved inventory variances, lost or misrouted freight, system errors, recurring process failures, and service or cost risks to the Planning Lead.
· Follow warehouse safety procedures, security requirements, customer-specific handling instructions, and all applicable company policies.
· Cross-train on core inventory and warehouse-planning tasks to maintain complete coverage during absences
PERFORMANCE MEASURES
· Inventory accuracy and SAP transaction accuracy
· Inbound receiving and outbound shipment accuracy
· On-time appointment, loading, and departure performance
· Timely completion of warehouse logs, manifests, and system updates
· Cycle-count completion and discrepancy resolution time
· Reduction in preventable inventory and documentation errors

Understand and adhere to all company policies, procedures, best practices, and applicable employment and safety legislation. EDUCATION, SKILLS, AND ATTRIBUTES REQUIRED
· Ontario Secondary School Diploma or GED equivalent required
· Minimum 1-2 years of experience in warehouse inventory control, shipping/receiving, logistics, or a related environment
· Hands-on SAP experience is required, including inventory movements, receiving, transfers, adjustments, and shipment-related transactions
· Experience coordinating inbound and outbound warehouse activity
· Working knowledge of bills of lading, manifests, labels, packing lists, and shipping/receiving documentation
· Strong attention to detail and commitment to data accuracy
· Proficiency in Microsoft Office, particularly Excel, Outlook, and Word
· Experience with a transportation management system or warehouse management system is an asset
· Ability to prioritize competing deadlines and respond calmly to operational changes
· Strong written and verbal communication skills
· Effective problem-solving and root-cause analysis skills
· Ability to work independently and collaboratively with warehouse, planning, operations, carriers, and Client Solutions teams
· Flexible availability for holiday coverage, occasional late shifts, or urgent response when required

Success in this role requires consistent development in SAP proficiency, inventory control, warehouse planning, organization, analytical problem-solving, proactive communication, cross-department collaboration, and continuous improvement. The individual must demonstrate ownership of inventory accuracy and the timely, reliable flow of inbound and outbound freight
