What you’ll do In this role, you'll be at the heart of our operations, ensuring everything runs smoothly.
Here’s what you’ll be doing:
Perform data entry across various systems, including our in-house pension administration system and Excel worksheets
Execute mail merges for mass client communications efficiently
Manage general administrative duties such as scanning, faxing, photocopying, and supply management
Maintain organized filing systems and archive documents according to retention policies
Process incoming mail by opening, sorting, logging, and distributing team correspondence
Prepare and verify outbound mail packages for accuracy
Support document management through both digital and physical filing systems
Assist other administrative assistants as needed to ensure smooth team operations
Identify and implement process improvements to boost team efficiency
Participate in special projects as assigned to add value to our operations
What You Bring Post‑secondary education or a minimum of two years of relevant experience
Strong attention to detail and the ability to multitask effectively
Proven experience with document management and archiving systems
Advanced proficiency with office equipment (photocopier, printer, fax)
Strong computer skills, particularly in MS Office Suite (Word, Excel, PowerPoint) - MS Office certificate preferred
Exceptional organizational and time management abilities
Strong written and verbal communication skills
A professional demeanor with strong customer service orientation
Experience in the group perks or pension industry
A self‑motivated team player who demonstrates initiative and independence
Bilingual skills in English and French (an asset)
