Inventory Coordinator Location: Toronto-661 University Department: Inventory Management

Role To provide coordination and support for the Inventory Management project and new Inventory System, including user access, data migration, intake processes, reconciliation, analytics, reporting, troubleshooting, training coordination, and project support for inventory modernization and continuous improvement initiatives. To support inventory management services which includes ordering, storing, pick and pack activities, shipping, receiving and management of raw materials, components and finished products as well as warehousing and processing of items.
Key Responsibilities Receives, unpacks, count, track and checks incoming laboratory and other supplies, ensuring that goods are either stored or delivered as per specifications and completed related paperwork such as signing delivery slips
Match goods received against packing slips and enters goods received into computer system, matching against applicable purchase order and advises Procurement staff of discrepancies (e.g., back orders, quantity issues, missing items) for resolution
Maintains various documents including records of received goods including packing and delivery slips as per retention policy
Print picking slip, prepares packaging, picks, packs and ships goods against requisitions received from internal and external customers
Identifies and coordinates the return of damaged or spoiled/expired goods to suppliers; completes appropriate documentation and coordinates transportation
Ensure solvents and acids are properly stored, secured, and delivered according to established safety procedures
Coordinate Maestro Inventory System access requests, including account setup, role/access changes, and location assignment updates
Support data migration from Sage to the Maestro Inventory System by running reports, filtering data, preparing upload templates, and coordinating data uploads
Manage intake processes for Maestro user access and inventory data changes, including SharePoint forms, tracking, triage, and follow-up with stakeholders
Maintain and monitor the Inventory inbox for Maestro troubleshooting, questions, training requests, and issue escalation
Prepare regular reconciliations between Sage and Maestro, identifying variances, documenting findings, and coordinating resolution of data discrepancies
Develop inventory analytics, reports, dashboards, and summaries to support decision-making, stock monitoring, process improvement, and leadership updates
Provide project coordination and administrative support for Maestro implementation, inventory modernization, policy/procedure updates, testing, documentation, and change management activities
Review existing inventory processes, policies, and procedures and provide recommendations to improve data quality, workflow efficiency, controls, and user adoption
Coordinate with Inventory, Lab Operations,
Procurement, Logistics, Finance, IT, and end users to support system readiness, training, communications, and issue resolution
Perform other inventory coordination, analytics, reporting, and project support duties as assigned
Knowledge and Skills Knowledge of inventory management principles, stock control, data reconciliation, item master data, inventory workflows, and the relationship between Sage, Maestro, Procurement, Logistics, and Finance processes
Knowledge of PHO stock keeping procedures and practices to process, maintain and ship supplies and to maintain the stockroom
Knowledge of supply tracking and inventory control including the use of relevant data systems (Maestro and Sage Accpac)
Ability to review inventory records, identify data gaps or discrepancies, support stock monitoring, and recommend improvements to inventory controls, procedures, and reporting
Experience supporting project activities such as tracking actions, documenting decisions, coordinating timelines, preparing status updates, and following up with stakeholders
Ability to support project implementation activities including testing, documentation, training coordination, change management, issue logs, and process transition planning
Proficiency using inventory, database, reporting, and Microsoft Office tools, including Excel, SharePoint, Teams, and system upload templates
Ability to coordinate system access, role/location changes, intake forms, data uploads, troubleshooting requests, and user support for the Maestro Inventory System
Analytics Skills: Ability to prepare reconciliations, reports, dashboards, summaries, and data analyses to support decision-making, process improvement, and leadership updates
Communication: Robust written, oral, and interpersonal skills to work with Inventory, Procurement, Logistics, Finance, IT, end users, and project stakeholders
Education and Experience Post‑secondary education – college or university
CPIM, SCMP, CPSM, or related designation preferred
Biosafety knowledge and experience
2 years of experience in supply chain coordination/inventory control/production planning/purchasing
Proficiency in Microsoft Office Suite & PC applications, including MS Word, Excel, Access, Visio, PowerPoint, and SharePoint
Attributes and Competencies Regular requirement to use a computer, review detailed inventory and system information, prepare reports, and maintain attention to accuracy for extended periods
Frequent requirement to coordinate multiple requests, review documentation, communicate with stakeholders,
and respond to changing project or operational priorities
Occasional requirement to visit inventory, warehouse, or laboratory areas to support process review, testing, documentation, training, or stakeholder follow‑up
Frequent requirement to bend, stretch, handle and lift various stock which may result in strain or risk of injury
Regular requirement to work in a warehouse or inventory storage setting where there are moving objects and vehicles which may result in risk or injury
Good physical condition to lift up to 50 pounds on a consistent basis
Works primarily in an office, system, and project-support environment with regular use of computer applications, inventory systems, shared documents, email, Teams, and SharePoint; May occasionally work with or visit inventory, warehouse, laboratory, or operational areas to support process review, testing, documentation, training, stakeholder follow-up, or issue resolution; Works in a warehouse setting within a laboratory facility where there is frequent potential for exposure to hazardous; Frequent requirement to work within established timelines and in some case rush deadlines for the transport of goods.
