Job Number: 55803City records are a vital corporate asset that support municipal operations, evidence-based decision-making, and legislative compliance. The Office of the City Clerk leads policy and procedures related to the retention and disposition of these assets, preserving them securely over time.As a Corporate Records Administrator, you will play an essential role in managing the official records of the Corporation and supporting our mandate under the City Administration Bylaw. In this role, you will certify official city records, manage municipal bylaws and policies, and provide critical research services to internal teams and community members. Working independently, you will ensure high standards of accuracy, security, and preservation for present and future generations. If you excel at detailed research, records governance, and delivering exceptional service, we welcome your application!What will you do?Attest to the officiality of city records through a certification processDetermine, track and assign City bylaw and policy numbers and statusesManage the City of Edmonton bylaws, including interpreting and applying consolidation and repeal items and determining relevant webpage and metadata contentReview agreements to ensure accurate delegated authority of signatories, content and descriptions, attachments to agreements and agreement template standards, applying a corporate seal where applicable and maintaining the Clerk’s copyMaintain the official record for Council and Committee meetings, which includes ensuring that all files are complete, secure and preserved for future generationsProvide reference and research services for internal and external clientele on official City records, including bylaws,



policies, sealed agreements and Council and Committee meetingsMaintains filing systems and access permissions for the branchPerform other related duties as assignedQualifications:High school diploma, including subjects with emphasis on general office practices, OR completion of an appropriate certificate program from an approved business school/collegeOffice Administration CertificateMinimum of 3 years of experience working in an office environment, including at least 1 year of direct experience in records managementAssets:Certificate in Records ManagementExperience working within municipal governance structures or interpreting legislative frameworks like the Municipal Government ActSkills required for success:Experience collating and locating information resourcesExperience applying policies and proceduresCustomer service experienceExcellent communication and writing skillsKnowledge and experience working in records managementAbility to use electronic resources, systems, and applicationsHigh level of attention to detailExperience preparing business correspondenceAbility to establish and maintain effective working relationshipsDemonstrate service excellence,
