Coordinator Support Administrator Position Summary

The Coordinator Support Admin is the central support role for White Rock Mechanical's office operations. This position helps keep work flowing efficiently by supporting all departments with customer service, scheduling, billing, safety administration, documentation, and general office coordination.

Key Responsibilities
Answer and filter incoming phone calls.
Assist with scheduling service calls and installations.
Assist with service work order billing and invoicing.
Provide administrative support to the HVAC, Plumbing, Service, and Accounting teams.
Assist with purchase orders and material ordering as required.
Maintain customer files, job documentation, and data entry.
Maintain safety documentation, COR records, inspections, training records, and compliance paperwork.
Prepare, scan, upload, and organize digital and paper records.
Assist with customer follow-up and general office correspondence.
Maintain office supplies and coordinate ordering as required.
Help maintain a clean, organized,



and welcoming office environment for customers and staff.
Provide vacation and workload coverage across office departments.
Help maintain efficient office workflows and ensure tasks are completed accurately and on time.

Qualifications
Excellent organizational and time management skills.
Strong attention to detail and accuracy.
Exceptional customer service and communication skills.
Ability to manage multiple priorities in a rapid-paced setting.
Proficient with Microsoft Office and business software (Maestro experience is an asset).
Experience in office administration, construction, or mechanical contracting is considered an asset.
Positive, adaptable, and team-oriented.

Job Type: Full-time

Pay: Competitive compensation with potential for qualified growth and benefits

Expected hours: 7:30am - 4:00 or 8am -4:30 Monday to Friday.
