This position is perfect for someone who anticipates needs, stays three steps ahead, and brings calm, structure and confidence to a busy environment.As the Executive Assistant, you will play a key role in supporting executive operations, managing office functions and facilities, coordinating meetings and events, and keeping organizational processes running efficiently. You’ll be trusted with sensitive information, expected to anticipate needs, and relied upon to maintain structure in a dynamic environment.This is a excellent opportunity for a self-starter who enjoys variety, takes initiative, and wants to contribute meaningfully to a mission-driven organization.Key ResponsibilitiesExecutive & Board SupportManage emails, calendars, and meeting coordination for the CEO and Director.Prepare correspondence, memos, reports, presentations, and spreadsheets.Support Board meetings by preparing agendas, setting up meetings, taking detailed minutes, and tracking follow-up actions.Cascade information clearly, accurately, and in priority order.Office & Operations CoordinationPrepare reports, presentations,
and spreadsheets by compiling data and formatting information clearly and professionally Oversee daily office operations including equipment, supplies, service calls, and maintenance needs.Liaise with clients, vendors, and internal teams to schedule appointments, relay information, and support smooth business operations.Maintain document management systems such as SharePoint; oversee onsite/offsite storage, archiving, and disposal.Manage building security, fire drills, cleaning, shredding services, and key/alarm code assignments.Ensure compliance with fire codes, AODA requirements, and facility standards.Participate in the Health & Safety Committee.Meetings, Events & ProjectsCoordinate organizational meetings, conferences, the AGM, and special events (catering, logistics, invitations, room setup).Assist with planning and tracking the space planning project, coordinating communication between team members and external resources.Support special projects that align with organizational goals and timelines.Manage bookings for all CDRCP spaces.Administrative & Financial SupportPrepare and track invoices, manage inventory,
