Casual Dispatcher
Overview:
Reporting to the Assistant Manager of Member Services and up to the President. This position is responsible for ensuring a smooth workflow of available members, permittees and reserves for IATSE projects in British Columbia.
Duties and Responsibilities:
● Receives and fills dispatch calls for all Departments using a computerized system
● Responds to Dispatch inquiries/requests from the production office(s), membership and permittees
● Updates and maintains information in a database
● Logs and reports any questionable hires to the Steward's Office
● Verifies and files production call sheets on a daily basis
● Reports any noted discrepancies in call sheets to the Steward's Office
● Distributes availability rosters as required
● Verifies member records such as deal memos
● Generates weekly reports of outstanding deal memos
● Researches and compiles ad hoc reporting as required
● Provides admin support for training or meetings
● Other tasks and duties as assigned Qualifications:
● Minimum of a Grade 12 education or High School Diploma
● Minimum of 1 year of previous work experience in office administration
● Minimum of 1 year of proven experience in customer service
● Previous dispatch experience with a computerized system would be an asset
● IATSE Local 891 Dispatch Training would be an asset
● Solid attention to detail is required
● Proficient understanding of Microsoft Office Suite
● Demonstrated ability to work in a team environment
● Professional verbal and written communication skills
● Ability to follow privacy standards to maintain confidentiality
● Ability to multitask while maintaining accuracy and efficiency
● Knowledge of IATSE Operations would be an asset
Reception Relief
Overview:
Reporting to the Manager of Member Services and up to the President, the Reception position is responsible for providing general office administrative support. This role also serves as first point of contact as front desk reception.
Duties and Responsibilities:
● Greets and welcomes guests as soon as they arrive at the office
● Directs visitors to the appropriate person and office
● Answers, screens and forwards incoming phone calls in a timely manner
● Retrieves office voicemail and forwards messages accordingly
● Ensures office closures are communicated (e.g. holiday closures)
● Ensures reception area is tidy and presentable
● Provides basic and accurate information in-person and via phone/email
● Receives, sorts and distributes daily mail/deliveries
● Other tasks and duties as assigned Qualifications, Skills and Abilities
● Minimum of a Grade 12 education or High School Diploma
● Minimum of 1 year of previous work experience in office administration
● Minimum of 1 year of proven experience in customer service
● Proficient and detailed understanding of Microsoft Office Suite
