Position Summary
The Part-Time Recreation & Conference Coordinator is a hands-on, physically active role supporting the Recreation & Conference Facilities team in delivering exceptional guest experiences throughout the resort. This position is ideal for someone who enjoys variety, working outdoors, staying active, and being part of a team that brings events and guest experiences to life.
This role requires an individual who is comfortable wearing many hats and actively contributing wherever needed. A typical day may include moving tables and chairs for a wedding setup, completing a conference room flip, preparing recreation spaces, assisting with waterfront activities, operating a boat tour, helping serve guests during an event, or supporting another department during busy periods.
The successful candidate will be energetic, reliable, safety-focused, and comfortable with the physical demands of a resort operation, including lifting, carrying, standing, walking, working outdoors, and completing hands-on setup and teardown tasks.
Key Responsibilities
Event, Wedding & Conference Setup Support
- Assist with the complete setup and teardown of weddings, conferences, meetings, group functions, and resort events.
- Perform physical event transformations, including moving and arranging:
- Tables
- Chairs
- Staging equipment
- Décor items
- Audio/visual equipment
- Event supplies
- Complete room flips efficiently and safely between events.
- Prepare event spaces to resort standards by ensuring rooms are clean, organized, properly arranged, and guest-ready.
- Assist with loading, unloading, transporting, and storing event equipment and supplies.
- Support entertainment setups, including moving equipment, preparing spaces, and assisting with breakdown after events.
- Remain active throughout events to assist with operational needs, guest requests, and last-minute adjustments.
Recreation & Guest Experience Support
- Assist with daily recreation programming and guest activities.
- Help prepare and maintain recreation spaces, equipment, and activity areas.
- Move, organize, and inspect recreation equipment to ensure it is safe and ready for guest use.
- Assist with outdoor activities and resort programming.
- Engage with guests in a friendly, qualified, and welcoming manner.
- Support special events, family programming, and seasonal resort activities.
Waterfront & Boat Operations
- Assist with waterfront operations,
including preparation and maintenance of waterfront areas.
- Support boat tours and guest lake experiences as required.
- Assist with preparing boats, docks, equipment, and guest areas before activities.
- Help move and maintain waterfront equipment, including recreational items and supplies.
- Work outdoors in varying weather conditions while maintaining a robust focus on guest safety.
- Follow all waterfront safety procedures and operational guidelines.
Food & Beverage & Event Support
- Provide support to the Food & Beverage team during weddings, group events, entertainment nights, and busy service periods.
- Assist with serving guests, event service, beverage setups, clearing tables, and event breakdown.
- Support the team by stepping into different roles as operational needs require.
- Maintain a positive attitude and professional appearance while assisting across departments.
Resort Facilities & Operational Support
- Assist with maintaining meeting rooms, recreation areas, storage spaces, and event equipment.
- Help organize and maintain inventory of supplies and equipment.
- Complete physical tasks required to keep resort spaces operational and guest-ready.
- Report damaged equipment, maintenance concerns, or safety hazards promptly.
- Assist with seasonal setup, outdoor preparation, and resort improvement projects.
Physical Responsibilities & Working Conditions
This position is a physically demanding role requiring regular movement and active participation in resort operations.
The successful candidate must be comfortable with:
- Lifting, carrying, pushing, and pulling items weighing up to approximately 40 lbs.
- Moving tables, chairs, event equipment, recreation supplies, and waterfront equipment.
- Standing and walking for extended periods throughout shifts.
- Frequently bending, kneeling, reaching, climbing stairs, and performing repetitive physical tasks.
- Working outdoors in a variety of weather conditions, including heat, cold, rain, snow, and sun.
- Working around waterfront areas, boats, and outdoor recreation spaces.
- Completing frequent setups and takedowns before, during, and after events.
- Remaining physically active for the majority of the shift.
Health, Safety & Safe Work Practices
- Follow all resort health and safety policies, procedures, and safe work practices.
- Use proper lifting and moving techniques when handling equipment and supplies.
- Safely operate, transport, and store recreation, event, and waterfront equipment.
- Identify and report hazards, damaged equipment, or unsafe conditions immediately.
- Follow all waterfront safety requirements and emergency procedures.
- Maintain a safe workplace for guests, employees, vendors, and performers.
Qualifications & Skills
- Previous experience in hospitality, events, recreation, facilities, food service, or customer service considered an asset.
- Strong work ethic with the ability to take initiative and stay productive.
- Comfortable working in a fast-paced environment with changing priorities.
- Positive, outgoing personality with strong guest service skills.
- Enjoys physical work and being active throughout the day.
- Ability to work independently and as part of a team.
- Strong attention to detail and commitment to maintaining resort standards.
- Versatile availability, including evenings, weekends, holidays, and peak resort periods.
- Pleasure Craft Operator License considered an asset.
Collaboration & Teamwork
- Work closely with Recreation, Conferences, Food & Beverage, Housekeeping, Maintenance, and Front Office teams.
- Communicate effectively with leadership and coworkers to support smooth operations.
- Be willing to assist wherever needed to provide exceptional guest experiences.
- Represent Bayview Wildwood Resort with professionalism, enthusiasm, and a service-focused attitude.
