Order Entry & Customer Service Coordinator

Soft Stuff Creations Inc., a leading importer and distributor of custom plush toys and promotional products, is looking for a highly organized and detail-oriented Order Entry & Customer Service Coordinator to join our team in Surrey, BC.

This position is ideal for someone who enjoys working in a fast-paced environment, is comfortable working with numbers and detailed information, and takes pride in making sure orders are entered and processed accurately.

Key Responsibilities

- Enter customer orders accurately and efficiently into our order management/accounting system
- Review purchase orders to ensure pricing, quantities, product details, shipping information and other specifications are correct
- Prepare and process sales orders, purchase orders and related documentation
- Coordinate with our sales, production, accounting and warehouse teams to ensure orders move smoothly through the system
- Communicate with customers and sales representatives regarding order details, missing information and order status
- Maintain accurate customer and order records
- Assist with invoicing, shipping documentation and other administrative tasks
- Track orders and follow up on outstanding information or approvals
- Help identify discrepancies or potential problems before orders are processed
- Provide general customer service and administrative support to the sales team

Requirements

- Excellent attention to detail and a high level of accuracy
- Strong organizational and time-management skills
- Comfortable working with numbers, pricing and detailed order information




- Strong written and verbal communication skills
- Ability to manage multiple orders and priorities in a rapid-paced environment
- Proficiency with Microsoft Office, particularly Excel and Outlook
- Experience with order-entry software is an asset
- Previous experience in order entry, customer service, sales administration, purchasing or a similar administrative role is preferred
- Ability to work independently as well as part of a team
- Must be legally eligible to work in Canada

Additional Assets

- Experience working with imported products, wholesale distribution or promotional products
- Fluency in French and/or Spanish
