Position Overview
The Junior Property Accountant is responsible for overseeing full-cycle property accounting, financial reporting, accounts payable operations, and tax compliance across a portfolio of commercial, retail, and residential properties. Reporting directly to the Senior Property Accountant and the Property Administrator, this role ensures accurate financial record-keeping, tenant ledger management, CAM/tax reconciliations, intercompany balance management, and full compliance with corporate and regulatory standards.

Job Responsibilities
· Accounts Payable Operations
o High-Volume AP Processing: Review, code, and track 200–300+ vendor invoices monthly across 50+ property accounts, obtain approval and verify expense allocation and budget alignment.
o Disbursements & Property Taxes: Prepare electronic payments and cheque processing for vendor payables, landlord rent (monthly/quarterly), interim/final property taxes across 30+ properties, and utility accounts (65+ accounts).
o Vendor & Payroll Administration: Maintain vendor records, resolve billing discrepancies, and process specialized disbursements including ground maintenance payroll, phone allowances, administrative fees, and insurance premiums.
· Property Accounting & Tenant Relations
o CAM & Operating Cost Reconciliations: Perform year-end Common Area Maintenance (CAM) and property tax reconciliations.
Review annual landlord operating cost statements across retail store lease agreements to ensure compliance with lease provisions and correct cost allocations.
o Budgets & Forecasts: Assist in preparing and analyzing annual CAM budgets, financial forecasts, and operating projections for upcoming fiscal years.
o AR & Rent Roll Oversight: Manage rent collections, record incoming receipts, reconcile outstanding balances, and maintain accurate tenant ledgers across all leasing properties. Verify landlord rent schedules (Base Rent, CAM, Realty Tax) for retail/commercial properties to ensure lease obligations are accurately met.
o Sub-Meter & Utility Billing: Calculate and invoice sub-metered utility re-billings (Hydro/Energy) across commercial tenants based on monthly meter readings and lease allocation formulas.
· Full-Cycle Financial Accounting & Reporting
o General Ledger Management: Maintain and update general ledgers for all property-related entities, preparing complex journal entries, monthly accruals, and year-end account reconciliations.
o Bank Reconciliations & Treasury: Perform monthly bank reconciliations for all leaseholders (30 + companies). Monitor daily cash balances, manage intercompany balance allocations, and coordinate funding transfers to eliminate overdraft risks.
o Specialized & Intercompany Accounting: Reconcile intercompany balances and transactions monthly/quarterly. Oversee revenue recognition, daily gas sales allocations, and commission accounting across specialized retail, fuel, parking, and residential operations.
· Compliance, Tax & Audit Support
o Audit & Regulatory Filings:
Support internal and external audits by compiling reconciliations, supporting schedules, tax documentation, and MPAC Property Income and Expense Returns.
Skills and Qualifications:
· Accounting/Business diploma (or MBA) preferred.
· Prior property accounting experience is an asset
· Experience with SAGE 300, Spectra Property Management Software (or equivalent ERPs) not critical but some ERP experience would be preferred
· Basic accounting knowledge and advanced Microsoft Excel (VLOOKUPs, pivot tables, financial modeling).
· Exceptional analytical and problem-solving abilities
Strong organizational skills with high attention to detail in a rapid-paced environment
Working conditions: Full time in-office with occasional travel to retail locations (GTA) as needed
