Position Summary
The Operations Manager Assistant supports the Operations Manager in the day-to-day operations of a wholesale distribution business specializing in firearms and ammunition. This role is critical to ensuring efficient operations while maintaining strict compliance with all applicable federal regulations, licensing requirements, and security standards governing controlled firearms and ammunition.
Key Responsibilities
Operational Support
- Assist the Operations Manager with daily operational planning, scheduling, and workflow coordination
- Support communication between sales, warehouse, logistics, and compliance functions
- Prepare operational reports, KPIs, and documentation for management review
Regulatory Compliance & Licensing
- Support compliance with all applicable Canadian firearms laws and regulations.
- Assist in maintaining valid business firearms licenses and related records
- Verify customer eligibility, licensing, and authorization prior to order release
- Maintain accurate records for firearms and ammunition transactions, traceability, and audits
- Assist with internal audits, inspections, and regulatory reviews
Order Processing & Documentation
- Review and assist with order processing to ensure regulatory compliance prior to shipment
- Ensure proper documentation accompanies all firearms and ammunition shipments
- Assist with returns, transfers, discrepancies,
and credits in accordance with legal requirements
Inventory Control & Security
- Assist with inventory tracking, reconciliation, and cycle counts of firearms and ammunition
- Support secure storage procedures and access control requirements
- Report inventory discrepancies, losses, or compliance concerns immediately
Logistics & Carrier Coordination
- Coordinate inbound and outbound shipments with approved and compliant carriers
- Track shipments and resolve delivery issues while maintaining regulatory standards
- Ensure shipping methods meet all legal, safety, and security requirements
Process Improvement & Training
- Assist in developing, documenting, and maintaining standard operating procedures (SOPs)
- Identify operational inefficiencies or compliance risks and escalate as required
- Support employee training coordination related to firearms compliance and operational procedures
Qualifications & Skills
- Experience in wholesale distribution, firearms industry, or regulated industries considered a strong asset
- Strong understanding of compliance-driven operations and documentation requirements
- High attention to detail and accuracy
- Proficiency with ERP systems, inventory management software, and Microsoft Excel
- Excellent organizational, communication, and problem-solving skills
- Ability to handle sensitive and confidential information professionally
Additional Requirements
- Eligibility to work with firearms and ammunition under Canadian law
- Successful completion of background checks and security screening as required
- Willingness to adhere to strict security, safety, and confidentiality policies
Working Conditions
- Office-based role with regular interaction with secure warehouse operations
- Full time position
Pay: $60,000.00-$65,000.00 per year
