Job Summary

The General Manager (GM) serves as the chief administrator of IMIRA. This is a part time, work from home, contract position that requires about 4-5 hours of administrative work during the week, in addition to any meetings or events.

The GM is responsible for managing daily communications, organizing meetings and events and any other member services that are required. Acting as a central liaison, the GM bridges communication between unionized member companies, UA Local 324 and the Board of Directors to foster a strong relationship between management and labour. This role demands a balance of robust administrative skills, event planning expertise, financial oversight, and a proactive approach to promoting the mechanical trades industry across Vancouver Island.

Responsibilities

- Address daily email and phone communication.
- Maintain accurate membership roster and ensure relevant communications are distributed to the membership.
- Ensure Director’s and Liability Insurance policies are maintained.
- Oversee technology needs, ensuring the maintenance of website with 3rd party service provider.
- Supervise the association’s financial health, ensure bills are paid and membership fees are remitted monthly by UA 324.
- Collaborate with the external Bookkeeper and Accountants to ensure accurate financial tracking, tax filings, and year-end reporting.
- Pay quarterly GST remittance.
- Monitor investment portfolios and coordinate financial reports for the Board of Directors.
- Facilitate and attend all meetings for the Board of Directors, general membership, and various committees.
- Plan, organize and attend the Annual General Meeting. A meeting of approximately 40 people, held over one to two days at a venue on Vancouver Island.
- Plan, organize and attend the Annual Winter Meeting. A meeting of approximately 20 people, held over four to seven days at a venue off-island.
- Record, finalize, and distribute detailed meeting minutes.
- Ensure full compliance with provincial regulations,



acting as the primary contact for the BC Registry and legal counsel.
- Submit yearly AGM filings and Director changes with BC Societies.
- Onboard recent members when signed by UA 324.
- Ensure membership paperwork is completed and submitted to legal counsel for inclusion to LRB accreditation.
- Participate in the IMIRA Golf Tournament committee, tracking and reconciling spending, ensuring the committee stays on budget.
- Plan, organize and attend educational and social mixers, including sourcing relevant guest speakers, choosing industry subjects, and facilitating networking opportunities.
- Represent IMIRA in Grievances: Attend grievance meetings, acting as facilitator; Take minutes of the grievance hearing and distribute to both parties.
- Represent IMIRA in Collective Bargaining: Collect industry information and market data for negotiations; Attend all collective bargaining meetings and keep accurate minutes.

Qualifications & Skills

- Experience: Proven experience in a General Manager, Executive Director, or senior administrative role, ideally within a member-driven association, labour relations organization, or the construction/mechanical trade sector.
- Financial Literacy: Background in supervising bookkeeping, managing organizational budgets, and interpreting financial/investment reports.
- Governance & Compliance: Familiarity with board governance, committee structures, taking minutes, and BC Registry/corporate filing requirements.
- Relationship Management: Exceptional interpersonal skills with the ability to maintain strong bonds between unionized labour and management groups.
- Technical Proficiency: Competence in basic MS Office applications (Word, Excel, OneDrive).
- Event Planning: Experienced in organizing corporate functions and networking events at hotels or similar venues.

This role is being offered on a contract basis to replace the current GM, who is leaving the role in October.

Pay: $1,667.00-$2,000.00 per month
