Sales Coordinator

Role Purpose

The Sales Coordinator helps protect the value of every lead that enters the Golfi Team database.

This person acts as a daily database auditor and lead-routing coordinator. They review leads, confirm that proper follow-up has taken place and ensure each lead is being handled according to the team’s lead-handling principles, database standards and GOLFI's real estate best practices.

The Sales Coordinator helps create greater speed, consistency and accountability across the sales department. When a lead is not being handled properly, this person takes action, communicates the issue and ensures the opportunity does not get lost.

This is a full-time, in-office position reporting to the Business Development Manager and Director of Business Development.

Key Responsibilities

Lead Routing and Distribution

- Route new leads to the appropriate agent based on the team’s lead-routing rules, agent availability, duty rotation, service area, performance and business needs.
- Monitor incoming leads throughout the day to ensure they are assigned quickly and accurately.
- Confirm that routed leads are accepted, contacted and actioned within the team’s required timelines.
- Reassign leads when an agent is unavailable, does not respond or does not follow the required lead-handling process.
- Continue monitoring reassigned leads to ensure they receive timely and appropriate follow-up.
- Support after-hours lead routing when required by the needs of the business.

Lead Management and Follow-Up Auditing

- Review new and existing leads within the database each day.
- Confirm that leads have been contacted and actioned within the team’s expected timelines.
- Ensure agents are following the proper lead-handling process, follow-up cadence and communication standards.
- Identify leads that have been neglected, mishandled or left without an appropriate next step.
- Reassign leads when the original agent has not followed the required process.
- Continue monitoring leads to ensure they meet the team’s speed-to-lead and follow-up expectations.
- Escalate repeat issues, missed opportunities and performance concerns to sales leadership.





Database Standards and Hygiene

- Ensure lead and client records are complete, accurate and up to date.
- Confirm that proper names, phone numbers, email addresses, lead sources, tags, stages and notes are being entered.
- Identify duplicate, incomplete or incorrectly categorized records.
- Ensure leads are being managed according to the team’s database rules, standards and expectations.
- Help maintain a clean, organized and reliable database that sales leadership can trust.

Reporting and Accountability

- Track and report on key sales activity metrics and KPIs.
- Provide sales leadership with regular reporting on lead response times, follow-up completion, database compliance, lead routing and agent performance.
- Identify trends, gaps and areas of concern.
- Bring forward issues that may be affecting conversion, agent accountability or the client experience.
- Support sales leadership with the information needed to coach agents and make informed decisions.

Sales Department Coordination

- Support the Business Development Manager and Director of Business Development with administrative and coordination tasks.
- Assist with sales meetings, training sessions, team events and department initiatives.
- Coordinate calendars, schedules, meeting materials and follow-up items.
- Help prepare reports, presentations, agendas and internal communications.
- Track action items and help ensure department commitments are completed.
- Provide additional support to the sales department as priorities and needs change.

Hours and Availability

This is a full-time position consisting of 40 hours per week.

The standard schedule will primarily take place during regular business hours. However, based on the needs of the business, scheduled hours may occasionally shift to include afternoons,



evenings or weekends.

The Sales Coordinator may also be required to provide limited after-hours on-call support for lead routing or other urgent business needs.

Scheduling and on-call expectations will be communicated by the employee’s manager and managed in accordance with applicable employment standards.

- Sales leadership has clear, timely and accurate reporting.

- Agents understand that lead-handling expectations are being monitored.
- Reassigned leads are followed through until they are being properly managed.
- Sales meetings, events and department initiatives are organized and supported.
