We are seeking an experienced, mature, highly organized, and professional Practice Manager to oversee the day-to-day operations of our established aesthetic medicine clinic.
This is an important leadership position for someone who genuinely enjoys organization, people management, problem-solving, and creating a positive and professional workplace. The ideal candidate is confident managing staff, comfortable having difficult conversations when necessary, exceptionally organized, and able to maintain a calm and solutions-focused approach in a busy environment.
We are particularly interested in candidates with a background in Human Resources, Practice Management, Healthcare Administration, Business Administration, Operations Management, or a related field, combined with several years of practical management experience.
Our clinic has an excellent, established patient and client base and a kind, professional team. We take great pride in the quality of care and service we provide and are looking for a Practice Manager who understands that professionalism, discretion, communication, and exceptional customer service are essential to a successful practice.
The successful candidate will become an integral part of our team and will play an important role in maintaining the organization, culture, and continued growth of the practice.
Key ResponsibilitiesPractice & Daily Operations
- Oversee the daily operations of the clinic and ensure that the practice runs efficiently and professionally.
- Maintain organized systems, workflows, procedures, and administrative processes.
- Coordinate with the clinical team to ensure smooth day-to-day operations.
- Identify opportunities to improve efficiency, communication, patient flow, and overall practice performance.
- Updating KPI's, workflow, and other performance indicators.
- Ensure the clinic consistently maintains a polished, organized, welcoming, and qualified environment.
- Support the owners and clinical team with operational planning and practice development.
Team Leadership & Human Resources
- Lead, support, and manage administrative and clinical team members.
- Establish clear expectations and maintain accountability while fostering a respectful and positive team environment.
- Assist with hiring, onboarding, training, and employee development.
- Manage employee performance and provide coaching and constructive feedback when appropriate.
- Address workplace concerns and interpersonal conflicts calmly, fairly, and confidentially.
- Maintain appropriate professional boundaries while creating a supportive and respectful workplace.
- Assist with developing and maintaining employee policies, procedures, and workplace standards.
- Promote a culture of professionalism, teamwork, accountability, and mutual respect.
Scheduling & Payroll
- Manage staff schedules, shifts, vacation requests, and day-to-day coverage.
- Ensure appropriate staffing levels and smooth clinic coverage.
- Coordinate schedule changes and last-minute staffing requirements.
- Review timesheets and assist with accurate and timely payroll processing.
- Maintain organized records relating to scheduling, attendance, vacation, and payroll.
- Ensure scheduling practices are fair, consistent, and aligned with the needs of the clinic and its employees.
Patient & Client Experience
- Maintain an exceptionally high standard of patient and client service.
- Support the administrative team in providing a welcoming, polished, and professional experience.
- Handle patient and client concerns with empathy, discretion, confidence, and sound judgment.
- Help build and maintain strong relationships with our excellent patient and client base.
- Ensure all communication reflects the values and professionalism of the practice.
- Support the team in delivering a consistent and elevated patient experience from the initial interaction through follow-up.
Administrative & Financial Responsibilities
- Assist with budgeting, expense tracking, purchasing, and administrative reporting.
- Oversee inventory levels, product ordering, and organization of clinic supplies.
- Monitor operating expenses and identify opportunities for greater efficiency.
- Maintain accurate administrative records and systems.
- Assist with tracking operational performance and identifying areas for improvement.
- Support the implementation of current systems, processes, and practice initiatives.
Compliance & Professional Standards
- Maintain confidentiality and discretion at all times.
- Support compliance with applicable healthcare, privacy, employment, and workplace safety requirements.
- Ensure clinic policies and procedures are consistently followed.
- Maintain a high standard of professionalism throughout all areas of the practice.
Qualifications
We are particularly interested in candidates with education, training, or qualified experience in:
- Human Resources
- Practice Management
- Healthcare Administration
- Business Administration
- Operations Management
- Office Management
- A related field
The ideal candidate will have:
- 3–5+ years of management experience, preferably in healthcare, medical practice, skin care, HR, office management, or a similar professional environment.
- Demonstrated experience managing people and navigating workplace dynamics.
- Strong experience with staff scheduling and shift coordination.
- Experience with payroll, timesheets, and employee administration.
- Excellent organizational and time-management skills.
- Exceptional attention to detail.
- Strong conflict-resolution and problem-solving abilities.
- Excellent interpersonal and communication skills.
- A calm, confident, and solutions-oriented management style.
- A high level of professionalism, discretion, integrity, and emotional intelligence.
- Strong customer service skills and an understanding of the importance of the patient/client experience.
- The ability to prioritize multiple responsibilities while remaining organized and composed.
- Strong computer and administrative skills.
- Experience with scheduling software, payroll systems, EMR/practice management systems, or Microsoft Office is an asset.
- Experience in dermatology, cosmetic medicine, wellness, or a similar client-focused healthcare environment is an asset.
- A clean criminal record check.
