Primary Purpose of the Role
The Office Manager is responsible for overseeing the day-to-day administrative, payroll, human resources, bookkeeping, and operational functions of the business.
This role plays a critical part in supporting employees, leadership, customers, and vendors by ensuring office systems, financial administration, payroll processes, and employee administration functions are managed accurately, professionally, and efficiently. The ideal candidate is highly organized, detail-oriented, adaptable, and committed to creating a productive and positive workplace environment.
Key Responsibilities
Office Operations Administration
- Manage daily office operations and administrative activities
- Maintain organized office systems, records, and documentation
- Coordinate office supplies, equipment, and vendor relationships
- Support operational efficiency through process management and organization
- Assist leadership with reporting, scheduling, and administrative initiatives
Payroll Administration
- Process payroll accurately and on time
- Maintain payroll records and employee compensation documentation
- Ensure compliance with payroll regulations and employment standards
- Support employee inquiries related to payroll and benefits
- Coordinate payroll reporting and related administrative requirements
Human Resources Administration
- Coordinate employee onboarding and orientation activities
- Maintain employee records and HR documentation
- Support recruitment, interview scheduling, and hiring processes
- Assist with policy administration and employee communications
- Ensure compliance with employment standards and company policies
- Support employee engagement and workplace initiatives
Bookkeeping & Financial Administration
- Manage accounts payable and accounts receivable functions
- Maintain accurate bookkeeping and financial records
- Complete reconciliations and support month-end reporting processes
- Assist with budgeting, reporting, and financial administration
- Coordinate with external accounting partners when required
Communication & Team Support
- Serve as a key point of contact for employees, leadership, vendors, and customers
- Support internal communication and information sharing
- Maintain professionalism and confidentiality in all interactions
- Foster positive working relationships across the organization
Compliance & Risk Management
- Ensure compliance with employment standards, company policies, and administrative
- procedures
- Maintain accurate documentation and record retention practices
- Support audits, inspections, and reporting requirements
- Identify administrative risks and recommend improvements
Qualifications
Required
- Experience in office administration, office management, business administration, accounting, payroll, human resources, or a related field
- Strong organizational and administrative skills
- Strong communication and interpersonal skills
- High level of professionalism and confidentiality
- Proficiency with Microsoft Office and business software systems
- Ability to manage multiple priorities and deadlines effectively
Preferred
- Experience processing payroll
- Experience with bookkeeping or accounting software
- Experience supporting HR administration and employee onboarding
- Experience working in a service, trades, construction, or operations-based environment
- Post-secondary education in business administration, accounting, human resources, or a related discipline
- Equivalent combinations of education, training, and experience will be considered.
