Junior Medical Administrator

Reports to: Administrative Team Lead / Administrative Manager
This is a great opportunity for someone who is organized, friendly, dependable, and looking to start or grow their career in healthcare administration.
As a Junior Medical Administrator, you will support our administrative team with the day-to-day operations of a busy fertility clinic. You'll help welcome patients, answer questions, organize documents, assist with appointments, and support the clinical team to ensure patients have a smooth experience.
You don't need to know everything on day one. We're looking for someone who is eager to learn, comfortable asking questions, takes direction well, and wants to develop their skills in a healthcare environment.

The Opportunity
As a Junior Medical Administrator, you'll be part of our administrative team and help keep the clinic organized and running smoothly.
You'll interact with patients throughout their fertility journey and work alongside our administrative staff, nurses, physicians, and other clinical team members.
This is a learning-focused, hands-on role. You'll be trained on our systems and processes and will gradually take on more responsibility as you become comfortable in the role.
What You'll Do
Support Patients
- Welcome patients and provide friendly, professional customer service.
- Check patients in and direct them to the appropriate area.
- Answer basic patient questions and direct clinical questions to the nursing team.
- Answer phones, emails, and other patient inquiries.
- Help confirm patient appointments.
- Assist patients with general appointment and clinic information.
- Help create a positive and welcoming patient experience.
Support the Administrative Team
- Assist with scheduling and booking appointments.
- Prepare patient charts and paperwork for appointments.
- Ensure documents and forms are organized and available when needed.
- Update patient information in the EMR.
- Assist with scanning,
uploading, filing, and organizing patient documents.
- Help ensure physicians and nurses have the information they need for appointments.
- Assist with patient billing and payment follow-up as directed.
- Help keep administrative areas and patient spaces organized.
- Assist with general administrative tasks and projects.
- Attend team meetings and participate in clinic initiatives.
- Learn and follow Pollin's policies, procedures, and workflows.
Support the Clinical Team
- Work closely with nurses, physicians, ultrasound technicians, and other team members.
- Assist with preparing rooms and supplies when required.
- Help prepare documentation for patient appointments and procedures.
- Escalate patient concerns or clinical questions to the appropriate team member.
- Assist with clinic flow and patient movement throughout the day.
- Support the team with other duties as required.
Weekend Coverage
Pollin operates 7 days a week. As part of the administrative team, you will be required to participate in a rotating weekend coverage schedule.
Weekend responsibilities may include:
- Checking in patients for appointments.
- Supporting cycle monitoring clinic flow.
- Preparing basic paperwork and requisitions as directed.
- Assisting the clinical team with administrative needs.
- Supporting IUI and other clinic procedures from an administrative perspective.
- Ensuring patients are directed to the appropriate area.

Required
- Previous customer service, retail, office, administrative, or healthcare experience is an asset.
- Strong communication and interpersonal skills.
- Friendly and professional approach with patients and coworkers.
- Strong attention to detail.
- Valuable organizational skills.
- Comfortable learning new computer systems and software.
- Basic knowledge of Google Docs and Google Sheets.
- Able to follow instructions and established processes.
- Able to ask questions and seek help when needed.
- Dependable and punctual with strong attendance.
- Comfortable working in a busy, fast-paced environment.
- Able to work well as part of a team.
- Ability to maintain patient confidentiality and professionalism.
- Must be available to participate in a rotating weekend and holiday coverage schedule.
Nice to Have
- Previous medical office or clinic experience.
- Medical Office Administration education or coursework.
- Experience working with an EMR.
- Previous healthcare experience.
- Fertility, OB/GYN, or women's health experience.
What Success Looks Like
You don't need to come in knowing everything.
We're looking for someone who is willing to learn, takes feedback well, stays organized, and can be counted on by both patients and the team.
Over time, you'll become comfortable with our systems, patient workflows, and fertility clinic processes and will have opportunities to take on additional responsibilities as you grow in the role.
Working Conditions
- Full-time, on-site.
- Monday to Friday 7:00 AM – 3:00 PM.
- Rotating weekend coverage is required.
- Holiday coverage may also be required on a rotational basis.
- General office and clinical environment.
- Must follow all confidentiality, infection prevention, and workplace safety requirements.
