Position Summary:
The Operations Support Officer is accountable for effectively managing a large volume of transactions particularly in updating and executing changes to the premium funding contracts.
The role requires effective administrative skills and client service orientation to better assist our internal and external customers. This role is ideally suited for a strong team player with a high level of detail orientation and the ability to effectively manage multiple priorities while maintaining a high level of productivity. In this role you will build a strong knowledge of premium funding policies and procedures.
Essential Duties and Responsibilities:
- Administer the changes to premium funding contracts as requested by clients (i.e. updating of bank account and policy details, negative endorsements and other changes to policies and renewals)
- Manage the credit refund process accurately and efficiently
- Prepare and issue manual invoices when required
- Manage the shared mailbox through timely labeling of requests to the team members
- Verify payments for posting to appropriate accounts
- Prepare statement of account and amortization schedules
- Answer queries, issues and concerns in a timely and professional manner
- Escalate serious complaints or issues that you are not equipped to deal with
- Assist in system testing and audit functions
- Process accounting and adjustment entries
- Manage special accounts to meet specific needs
- Meet service level objectives
- Adhere to approved processes and audit requirements
- Maintain up to date knowledge of company policies and products
Knowledge / Skills / Abilities Required:
- Excellent written and verbal communication skills
- Advanced/Excellent skills in Excel
- Knowledge of Outlook and MS Word
- Previous financial processing and/or administration experience
- Robust organizational, prioritization and abstract reasoning skills
- A proactive, energetic and enthusiastic approach to your work, and a desire to go the extra mile in customer service
- Self-motivation and strong attention to detail
- The ability to build strong relationships with team members and internal and external customers
- Strong organizational, and abstract reasoning skills
- Ability to multitask in a high-volume environment
- A flexible attitude towards changes and the ability to adapt to current situations
- Bilingual French/English would be a strong asset
Training / Education / Experience Qualifications:
- A college diploma or university degree
- 1-3 years of customer service experience ideally within the Insurance/Financial Services industry.
Compensation
The estimated hourly rate for this role is $21.54-$28.21, along with eligibility to earn an annual bonus. Actual pay rate may vary based on several factors, such as a candidate’s qualifications, skills and experience.
