We are looking for an outgoing, self-motivated professional to join our Member Services Hub Team!
Job Description:
The Member Services Hub Coordinator is vital to delivering an exceptional experience for our members and the public. As the first point of contact, this position is responsible for ensuring the practical business needs of our members are met so that they may conduct their real estate operations productively and profitably. This role welcomes members and guests with warm hospitality and care, conducts daily administration and provides essential services to the REALTORS®. In addition, this is the central hub of knowledge for the REALTOR® Store.
What You’ll be Doing:
The major duties and responsibilities for this role include, but are not limited to:
- Act as the first point of contact for all members, guests, and co-workers entering the building.
- Greet and assist all members and the public, both in person and on the phone.
- Monitor and distribute incoming and outgoing mail and couriers.
- Respond to all requests made via email and phone through the Zendesk platform and distribute emails/tickets to appropriate team members for processing.
- Creating and organizing member files and folders and preparing letters and certificates for signing, mailing, and filing.
- Process new memberships (including collecting dues), terminations, and reinstatements.
Maintain membership records in the database. Prepare membership approval notices for the Board of Directors.
- Sell, train, and assist members with the electronic key control system. Process, program, activate and assign active Keyboxes and e-keys in CRM and Supra. Supply lost keys and replacements, answer general questions on the ekeys and conduct troubleshooting.
- Processing and maintaining condo access boxes.
- Review provincial licensing activity report and conduct appropriate follow up with Brokerages and Appraisers.
- Processing and filling all supply orders from the REALTORS® Store. Manage REALTORS® Store inventory, ensuring store shelves are stocked, items are correctly priced and coded, initiate re-orders with the Manager. Conduct the inventory count.
- Handle, count, balance and safe keep cash and payments from the retail store, prepare daily sheets for the Accounting Department.
- Perform other duties as assigned.

- Is computer savvy and is comfortable using multiple apps/programs, CRM platforms, and basic office software (such as, Outlook, Microsoft Excel, MS Teams, etc.).
Education and Experience:
- Diploma in Office Administration, Business, Hospitality, or another related field is preferred. At least 2 years’ experience in a customer service position.
- At least 2 years’ experience in an administrative position.
- Knowledge of, or experience in the Real Estate Industry is considered an asset.
- Experience with Zendesk, Paragon, Supra or CRM platforms is considered an asset.
