Position Title: Finance Officer (Fixed Term Contract ending June 2027)

Reports directly to the Finance Manager
Purpose of position
The Finance Officer is responsible for all Accounts Receivable related functions including managing the invoicing and collection of receivables, entering cheque deposits, EFT, and online banking payments. This role is key to ensuring that revenue is accurately recorded, discrepancies are resolved, and internal controls are adhered to. They will work closely with the finance team to maintain accurate financial records and support the financial health of the association.
Key Responsibilities:
Invoicing & Receivables Management:
- Issue accurate invoices for goods and services provided in a timely manner.
- Track, follow up and monitor outstanding receivables, ensuring payments are received promptly.
- Record payments received via credit cards, cheques, EFT, and online banking platforms in the accounting system.
Internal Controls & Compliance:
- Follow and enforce internal control policies and procedures related to accounts receivable processes.
- Ensure all transactions are recorded according to the organization’s financial policies and guidelines.
- Maintain confidentiality and security of financial information.
Reconciliation & Record Maintenance:
- Reconcile revenue accounts to ensure accurate recording of all payments received
- Work with other departments to ensure accurate reconciliation process and approvals are acquired
- Maintain and update the accounts receivable records, ensuring they reflect the correct balances at all times.
- Collaborate with the finance team to ensure that all records are consistent with the financial reports.
Discrepancy Investigation & Resolution:
- Investigate and resolve discrepancies in accounts receivable, including payment shortages, overpayments, and misapplied payments.
- Communicate with clients, donors, or colleagues to clarify payment issues and ensure resolutions are achieved in a timely manner.
Team Collaboration:
- Work closely with the finance team and other departments to support overall financial objectives and ensure seamless coordination.
- Assist in preparing reports and provide necessary documentation to support audits or financial reviews.
- Provide additional support for various finance-related tasks as needed.
Knowledge and Experience:
- ·College or university degree in Accounting or related field
- Minimum of 3 years work related experience
- Familiarity with accounting software and proficiency in Microsoft Office Suite, especially Excel.
- Strong attention to detail and ability to manage multiple tasks with accuracy.
- Knowledge of accounting principles and internal control procedures.
- Ability to work effectively both independently and as part of a team.
- Excellent communication and interpersonal skills to liaise with team members, clients, and donors.
- Solid problem-solving skills and the ability to investigate and resolve discrepancies efficiently.
We are working remotely and are happy to consider candidates who are located outside of Ottawa with a preference to be fully remote in Ontario. Please note: some travel may be required throughout the year.
Salary range: $50,000 - $55,000
