As part of a team of over 950 dedicated employees, you’ll join a vibrant, guest‑focused community where hospitality, entertainment, and service excellence come together. This 12‑month contract offers the opportunity to contribute meaningfully within a marquee property, gaining hands‑on experience across Sales, Catering, Banquets, Culinary, and Hotel Operations. Under the general direction of the Manager, Sales & Catering, the Sales & Catering Coordinator plays a key role in delivering seamless, memorable events. You will support the full cycle of event sales and coordination—from initial inquiry to post‑event follow‑up—ensuring the flawless execution of all catering and banquet functions. In this energetic, event‑driven environment, you’ll cultivate strong client relationships, collaborate closely with on‑site operational teams, and uphold River Rock’s high standards for service, safety, and guest experience.
Key Accountabilities
- Actively solicit and secure new business through proactive sales efforts, including cold calling, networking, and direct mail campaigns.
- Serve as the primary point of contact for all catering inquiries, responding promptly and professionally to all potential and existing clients.
- Conduct site tours and presentations to showcase facilities and services to prospective clients.
- Develop customized proposals, menus, and contracts that align with client needs and maximize profitability.
- Maintain accurate and detailed records of all client interactions, event details, orders, payments, and expenses.
- Plan and coordinate pre-event meetings with all relevant stakeholders, including food and beverage, banquets, and site operations.
- Create, distribute, and manage the Banquet Event Order (BEO) for each event, ensuring all details are accurate and communicated clearly.
- Liaise and communicate effectively with all operational departments to ensure a seamless and coordinated delivery of services.
- Respond to and resolve guest issues and concerns promptly and efficiently to ensure a positive experience.
- Compile and distribute departmental reports, including sales forecasts, post-event summaries, and revenue analysis.
- Maintain and update client databases and sales records using designated software
- Assist with the development and implementation of sales and marketing initiatives.
- Follow up with guests after each event to complete a quality report and solicit feedback for continuous improvement and future bookings.
- Perform other duties as assigned or directed
- Provide ongoing sales and administrative support to Sales Managers, including coverage during vacation, leave, and business travel to ensure continuity of client service.
- Assist the Manager, Sales & Catering with ad hoc projects, reports, and departmental initiatives as required.
- Manage the execution and coordination of Tour, Fishing, Social, Sports, and all room block-only groups,
including room blocks, rooming lists, billing, client coordination, reservation changes, payment processing and collection, and related operational follow-up.
- Be available, as required, outside regular business hours, including weekends, to support urgent client needs and escalations.
Education and Qualifications
- Post-Secondary diploma or degree in Hospitality or Hotel Management is a strong asset.
- Serving it Right certification is mandatory.
- Proven ability to deliver exceptional internal and external customer service.
- Strong computer literacy, including proficiency in MS Office Suite.
Work Environment Considerations
Standing for long periods of time, lifting, carrying, pushing, pulling, stretching, bending, interruptions and non-traditional work hours
Compensation for this 12‑month contract position is aligned with experience, with a salary band of $43,000–$58,000. Final placement within the band will reflect the selected candidate’s background and capabilities, with a hiring target of approximately $50,000–$52,000. Total compensation also includes extended health benefits beginning on your first day, supporting your overall health and well‑being.
