We are currently accepting resumes for a MemberCare Specialist to join the Training, Apprenticeship, and Jobs – West Team. This is a full-time, permanent position in our Edmonton Member Centre.
Job Summary:
The Member Care Specialist provides member- and public-facing administrative support to the Operations Administrative Group (OAG), serving as the primary point of contact for participants, members, employers, and the general public at TAJ-West locations. This role is responsible for greeting and directing visitors, handling registration and intake at the front desk, supporting classroom facilitation logistics, and maintaining accurate training records. The Member Care Specialist works within defined procedures and SOPs, escalating complex situations to the OAG Program Lead.
Key Responsibilities:
Member and Participant Intake
- Greet all guests and direct them to appropriate classrooms, meeting rooms, or team members
- Register participants requesting training at the front desk and process payment via cash or card for products or services offered by TAJ-West
- Handle walk-in inquiries from members, employers, and the general public, providing accurate information about training programs and services
- Manage phone intake: take and direct calls to appropriate destinations, record messages, and ensure timely follow-up
Records and Database Management
- Accurately record training records,
member and employer information, and other statistics as directed by the OAG Program Lead
- Perform event completions in UnionWare following training delivery, ensuring records are current and accurate
- Administer the distribution of certificates and congratulatory letters for external and in-house training courses
- Determine status of scheduled training courses by confirming minimum class size requirements; send reminder notifications to registered participants
Classroom and Logistics Support
- Ensure display boards are current and updated regularly
- Support classroom setup, registration logistics, and post-session follow-up as required
- Monitor and order office and training supplies as needed
Communication and Liaison
- Develop and maintain positive relationships with participants, members, signatory employers, and third-party training providers
- Communicate with internal training staff to ensure accurate record-keeping and consistent service quality
- Provide information and respond to training inquiries from members and employers
- Escalate complex situations to the OAG Program Lead
- Represent CLAC at industry and community events as required
Qualifications:
- High school diploma or equivalent
Skills and Experience:
- Minimum 6 months of experience in an administrative, reception, or customer service role
- Proficiency in Microsoft Office 365 (Outlook, Word, Excel)
- Excellent verbal and written communication skills; friendly and professional manner in person and by phone
- Solid organizational skills and attention to detail
- Ability to handle multiple tasks in a busy, member-facing environment
- Respect for confidentiality of member and financial information
- Familiarity with UnionWare or similar systems is an asset
Reporting and Accountability:
- This position reports directly to the Operations Admin Group Program Lead, TAJ-West
Compensation:
The annual salary will range from $49,987 to $64,046
